Lets change the this vital role you will provide comprehensive and high-level administrative support to Executive Directors Directors and cross-functional teams within the Global Development Oncology Late Development organization. This role requires exceptional organizational skills strong attention to detail and the ability to handle multiple priorities in a fast-paced dynamic environment. The AC will partner closely with internal stakeholders and external collaborators to ensure seamless operations and efficient coordination of departmental activities.Manage complex calendars and schedule meetings across multiple time zones (Outlook) for individual leaders and team functionsCoordinate functional processes including invoicing purchase orders and vendor-related activitiesArrange domestic and international travel and prepare corresponding expense reportsSupport development and formatting of slide presentationsPerform general administrative duties including maintaining distribution lists contact lists and organizational personnel recordsOrganize and manage departmental administrative files and documentationManage administrative aspects of relationships with external experts vendors and partnersPlan and coordinate local and international meetings including travel logistics visitor arrangements and accommodationsReserve and prepare meeting rooms ensuring all logistics equipment and catering needs are metOrganize and facilitate large on-site and off-site meetingsAssist with special projects and initiatives as requested by Executive Directors and department leadershipMaintain membership subscriptions and departmental duesInitiate and facilitate cross-functional meetingsManage timely registration for conferences congresses seminars and internal eventsProvide backup administrative support to other department ACs as neededAdditional Qualifications/ResponsibilitiesWe are all different yet we all use our unique contributions to serve patients. The administrative professional we seek is a solution oriented individual with these qualifications.Basic Qualifications:Associates degree and 2 years of administrative experienceOr2 years in a technical school setting with hands-on experienceOrHigh school diploma / GED and 4 years of administrative experiencePreferred Qualifications:Positive proactive mindset with a solution-oriented approachProficiency with Amgen systems technologies and platformsPolite professional and highly collaborative team player5 years of administrative support experience within Amgen supporting large teams and varying leadership levelsStrong written verbal and presentation communication skillsAdvanced proficiency in MS Excel PowerPoint Word SharePoint SAP and Learning Management SystemsExperience supporting remote staffHighly organized with strong problem-solving skills and the ability to work effectively across cross-functional teamsStrategic thinker with the ability to anticipate needs and resolve logistical challengesAbility to thrive in a fast-paced deadline-driven environmentDemonstrated discretion and professionalism in handling confidential informationWhat you can expect of usAs we work to develop treatments that take care of others we also work to care for your professional and personal growth and well-being.
