JOB TITLE: ADMINISTRATIVE SECRETARY 7-12DEPARTMENT: School Office AdministrationREPORTS TO: PrincipalFLSA STATUS/CLASSIFICATION: Non-Exempt; Level 5SUPERVISORY DUTIES: NoneAPPROVED ON: 2/14/2023SUMMARY: Performs office and administrative functions to ensure effective school communications; monitors staff attendance processes facility use requests transportation requests time card distribution and collection student records/files/enrollment and monitors assignment of substitute staff.ESSENTIAL DUTIES & RESPONSIBILITIES:Prepares all memos letters school-wide communications or other documents as required for parents students teachers staff or the District OfficeResolves difficult situations by applying appropriate conflict resolution methodsFollows district guidelines in disciplining students when Administrator is off campusProcesses all employee absences and leave requests through the substitute programMaintains all information relative to the school facilities or personnelCollects all time cards checks for accuracy and submits to the district office following authorization by the site administratorApproves employees time in Time Clock makes corrections to Time Clock as neededCollects all monies and ensures that fees are deposited in proper accounts where applicableCoordinates substitute teacher activities with the district officeReceives incoming phone calls and greets and directs visitors to school locationsMaintains calendars for the principal & facilitiesEnsures all outgoing U.S. mail is properly sorted and incoming mail is distributed to proper recipientsMaintains Professional Development hours for the teachersMay process administer and/or track discipline records semester awards professional development hours (teachers) progress reports school website yearly awards (4.0)/honor rollCompletes Electronic Personnel Action Requests (EPAR) for new hires stipends overloads and terminationsMay assist in interviewing candidates and entering reference checks into applicant tracking systemOrders all supplies and materials needed and keeps an accurate inventory of those suppliesProcess all purchase orders to vendors while keeping accurate records of outstanding and completed purchase ordersCross trains with other office staff; fills in when neededAssists with updating campus website and Facebook as neededAt the middle schools during the year - responsible for scheduling maintenance of records (shredding and filing)At the middle schools during the summer - registration withdrawals records request scheduling and incoming/outgoing mailAt the high school - assist with planning and organizing graduationOther duties as assignedKNOWLEDGE SKILLS & ABILITIES:Ability to operate standard office equipmentAbility to communicate effectively verbally and in writingAbility to do perform multiple clerical functions simultaneouslyAbility to do detailed mathematical computationsAbility to maintain confidentialityProduce accurate work and complete assignments with minimal supervision.Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.Ability to work cooperatively and courteously with staff students parents and community members.Knowledge of applicable Federal and State laws district procedures and Board policies.Ability to handle confrontation and conflict without an emotional response.QUALIFICATIONS & REQUIREMENTS:Education & Experience:High School diploma or equivalent2-3 years previous school office experience preferredExperience with various modern office equipment and systemsAny equivalent combination of training education and experience that meets minimum requirementsCriminal justice/Fingerprint clearanceComputer Proficiency: Demonstrated general proficiency in computer programs such as Microsoft Excel Word and Google Suite.PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
