Position Type:Non ClassifiedJob Title:Administrative Specialist III - Student ServicesClassification Title:Administrative Specialist IIICampus Location:ASU BeebeJob Description:GENERAL DESCRIPTIONThe Administrative Specialist to the Vice Chancellor for Student Services provides high-level administrative and operational support to the Office and Division of Student Services. This position assists the Vice Chancellor with correspondence, scheduling appointments, preparing reports, managing communications and serving as a liaison between students, staff, and departments.ESSENTIAL DUTIES AND RESPONSIBILITIES· Perform general administrative duties to support the Vice Chancellor for Student Services including answering telephone, making copies, and developing correspondence as needed. Provides customer service as point of contact for students, faculty, staff and visitors via phone email, and/or in-person.· Prepare correspondence, reports, memos, agendas, and presentations for internal and external use as requested. Process mail in/out and track deadlines and assist in monitoring department projects and initiatives. Attend meetings and takes minutes upon request.· Handle confidential and sensitive information with discretion and professionalism.· Provide administrative support for student services events, programs, and outreach efforts.· Assist in the preparation and maintenance of department budgets, including purchase orders, requisitions, and expense tracking as needed.· Create and maintain files for appeals, complaints, grievances, student conduct and Title IX cases.· Support communication between the Vice Chancellor and Student Services departments including Advising and Learning, Counseling, Financial Aid, Registrar, Admissions, Student Life, Student Support Services and others.· Other duties as logically associated with the position are assigned.Required Qualifications:Required QualificationsKnowledge of specialized field (however acquired), such as basic accounting, computer, etc. equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 5 years related experience and/or training or equivalent combination of education and experience.Preferred QualificationsFamiliarity with Banner, Argos, or other student information systems.Experience supporting senior-level administrators in a college or university setting.Understanding of FERPA and student confidentiality standards.Minimum Salary or Salary Range:$27,577Stand:regularlyWalk:regularlySit:frequentlyUse hand to finger, handle, or feel:regularlyReach with hands and arms:regularlyClimb or balance:occasionallyStoop, kneel, crouch or crawl:occasionallyTalk or Hear:continuouslyUp to 10 pounds:regularlyUp to 25 pounds:occasionallyDoes this position have any special vision requirements?
