JOB DESCRIPTION

Registrar 10-Month

Salary Schedule: O - 202 days

FLSA: Non-Exempt

Reports To: Principal

Terms of Employment:

Salary and benefits shall be paid consistent with the system's approved compensation plan.

Length of the work year and hours of employment shall be those established by the system.

Qualifications:

  1. High school diploma or equivalent.
  2. Three (3) years of secretarial experience.
  3. Must meet background clearance requirements as specified by Alabama statutes and State Board of Education regulations.

Duties and Responsibilities:

  1. Manage attendance reporting, including daily, monthly, and end-of-year reports.
  2. Oversee student registration, enrollment, transfers, and withdrawals.
  3. Maintain cumulative student folders and records.
  4. Compile and submit state and federal reports accurately and on schedule.
  5. Ensure the security and confidentiality of student records, materials, and equipment.
  6. Provide secretarial and clerical support to the principal and programs under administrative supervision, including answering the phones and greeting visitors.
  7. Post standardized test scores, initiate incoming student records, and forward required documentation for student transfers.
  8. Prepare and send student transcripts to enrolling schools or colleges.
  9. Draft and distribute memorandums, letters, forms, and other correspondence as assigned.
  10. Receive, sort, and distribute incoming mail, packages, and other materials.
  11. Monitor inventory levels and obtain office supplies as needed.
  12. Maintain organized and accurate filing systems for all assigned documents.
  13. Assist with the preparation, processing, and distribution of individual and business contracts.
  14. Participate in training opportunities to enhance job-related skills and proficiency.
  15. Engage in cross-training activities to support departmental efficiency and continuity.
  16. Uphold confidentiality and demonstrate high ethical standards in all work-related matters.
  17. Promptly notify the supervisor of potential problems, concerns, or unusual events.
  18. Perform other reasonable and equitable job-related duties as assigned by the immediate supervisor.

Knowledge, Skills, and Abilities:

  1. Considerable knowledge of school system operations, policies, and procedures.
  2. Proficiency in business English, including spelling, grammar, and punctuation.
  3. Strong understanding of administrative secretarial practices, system accounting, and payroll processes.
  4. Ability to interpret and apply rules, regulations, and policies while exercising sound judgment in decision-making.
  5. Ability to establish and maintain effective, professional working relationships with administrators, staff, students, and the public.
  6. Competence in computer operation and software applications, including word processing, spreadsheets, and related office systems.
  7. Ability to prepare, maintain, and analyze accurate and complex financial records and reports.
  8. Excellent organizational and time management skills.
  9. Ability to work independently or collaboratively, with or without direct supervision.
  10. Skilled in greeting and assisting visitors courteously and professionally.
  11. Physical and emotional stamina, and dexterity to perform duties efficiently in a fast-paced, high-intensity work environment.
  12. Possession and maintenance of a valid Alabama driver's license.

Tools/Equipment Used: Standard office equipment, including a computer; standard instructional equipment; other specialized and adaptive equipment used by students

Posture: Frequent standing; kneeling/squatting, bending/stooping, pushing/pulling, and twisting

Motion: Frequent walking and reaching

Lifting: Frequent light lifting and carrying (less than 15 pounds); Occasional heavy lifting (45 pounds or over) and positioning or students with physical disabilities, controlling behavior through physical restraint, assisting non-ambulatory students, and lifting and moving adaptive and other classroom equipment

Environment: Work inside and outside (exposure to sun, heat, cold, and inclement weather); exposure to noise; exposure to biological hazards (bacteria, communicable diseases)

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
