Job DescriptionJob DescriptionSalary: The Assistant Fitness Director will play a role in overseeing and supporting the team of Personal Trainers, Front Desk Staff, and Group Fitness Instructors, ensuring efficient communication across teams regarding facility operations and services, intake management of all customer service inquiries, scheduling and coverage needs, and team updates regarding responsibilities and expectations. The Assistant Fitness Director is responsible for maintaining daily facility operations in our corporate clients facility, overseeing fitness equipment repairs, communication between vendors and clients, and month to month reports regarding utilization and fitness services. This role includes customer service, facility/team management, organizational skills, and the ability to assist in administrative tasks as needed.The Assistant Fitness Director works closely with the Wellness Director on all responsibilities outlined below:Front Desk Staff ManagementOversee the supervision and management of employees, including staff training and developmentDevelop and maintain team goals and initiatives for positive employee retentionEnsure all staff are confirmed and present each shift scheduled and responsibilities are adhered to (daily cleaning checklist, equipment inspection, customer service, etc.)Update Front Desk staff timesheets bi-weekly to accurately reflect hours worked for payroll submissionFill in as a staff member in the event of staff absences as needed to ensure limited disruption to the resident experience.Personal Trainers, Coaches and Group Fitness Instructor Support:Oversee all Personal Trainers and Coaches to provide general supportWorks directly with the Fitness Lead to ensure all scheduling of services to residents with staff are provided. (Personal training consultations, nutrition consultations, coaching screening qualifications, orientations, or other requested services). Able to step in and provide these services when needed.Coordinate regular check in reviews with personal trainers and coaches.Lead as Head Trainer for evening operations in acquiring personal training clients per the needs of the facility.Ensure all Instructors are confirmed and present each scheduled class and responsibilities are adhered to (class set up/break down, cleanliness of group fitness space, participation logs updated weekly, etc.)Coordinate Instructor coverage on an as needed basis and/or fill in for emergency coverage needs to ensure no disruption to the weekly group fitness schedule.Audit group fitness classes to ensure standards and expectations in regards to professionalism, customer service, structure and programming are adhered to.Instruct three group fitness classes per week as part of the weekly offerings of group fitness services to the Community.Facility OperationsOversees overall general facility appearance Includes but is not limited to, lobby, display cabinet, bathrooms, common areas, community room, studio and general fitness areas, etc. (Daily Cleaning Checklist).Accurately manage program supplies and inventoryOversee and perform facility and equipment maintenance including preventative maintenance for equipment and repair submissions (Daily Inspection Checklist).Coordinate development and hosting of fitness programs and events, at times in collaboration with the Fitness Director and Lifestyle Team.Ensure quality control and work directly with other key contacts to ensure that the best possible service is provided.Manage content creation and community engagement on multiple social media platforms while implementing marketing strategies for program growth and engagement.Uphold facility policies and guidelines per the standards set in place by the client site.Oversee and ensure policies and safety protocols on the floor, complete daily cleaning protocols, facilitate daily equipment inspections, maintain facility inventory and purchasing needs, provide quality customer service, and programs/services run according to schedule.Customer Service:Respond professionally and promptly to resident emails on inquiries for personal training, specialized programs, and general questions/concerns about Fitness Center operations.Responsible for all general service intakes and general communication with new clients and/or program participants.Provide outstanding customer service for all additional services provided.The Assistant Fitness Director is responsible for working with the Wellness Director to ensure that the company and staff are providing the best possible customer service to our members.Program Development:Coordinate with the Wellness Director the development, implementation, communication, participant registration, and marketing for all special events and fitness programs within this corporate site.Responsible for overseeing ongoing and established monthly programming within the facility.Administrative SupportProvides administrative support by answering questions, maintaining correspondence with other partners; leads and schedules tours; interfaces with community groups, and actively promotes the facility.Submit weekly and monthly facility reports to the Wellness Director on the assigned deadline (Utilization Report, Group Fitness Participation Report, Personal Training Services Report, Daily Equipment Checklist Report)Weekly updates with the Wellness Director to collaborate on updates, projects, tasks and operational procedures.Maintain effective time management and meet deadlines for all additional responsibilities assigned by the Wellness Director.
