Job DescriptionJob DescriptionJOB POSTINGVP of Administration and Finance Operations VIcom - Virginia Integrated Communication – Virginia Beach, VA Department: AdministrationReports to: CEO and PresidentThe Vice President of Administration & Finance Operations is responsible for overseeing all financial, administrative, and compliance functions to ensure organizational efficiency and fiscal integrity. In addition to managing the administrative team, this role handles banking operations, payroll, budgeting, ESOP administration, and regulatory reporting while providing strategic support to executive leadership and ensuring adherence to company policies and legal requirements.Employee Owned. All employee owners have a vested stake in the company which means their commitment to our communities, customers, and each other is unparalleled.Essential Duties and Responsibilities: Provide leadership over all core financial operations, including accounts payable/receivable, payroll administration, and enterprise-wide cash flow optimization.Direct daily treasury activities, including banking oversight, payment posting accuracy, and proactive management of positive pay controls to mitigate risk.Lead complex bank reconciliations across multiple accounts and oversee preparation and validation of the borrowing base report to support credit facility compliance.Deliver timely, highly accurate monthly job cost reporting to support operational decision-making and margin management.Prepare, interpret, and present monthly, quarterly, and annual financial statements, including detailed P&L analyses, departmental breakouts, and budget-to-actual performance reviews.Administer ESOP distribution and diversification payments and manage associated cash sweeps to ensure fiduciary compliance and liquidity management.Oversee 401(k) contribution processing, company match reconciliation, and related benefits accounting to ensure accuracy and regulatory adherence.Lead annual budgeting and quarterly forecasting processes, ensuring alignment with corporate financial strategy and organizational targets.Monitor burden rates, update cost allocation models, and refine financial tools to ensure accurate job costing and overhead assignments.Execute ACH/wire transfers, garnishment payments, and corporate rent/mortgage disbursements with precision and strong internal control discipline.Serve as an authorized signer on ESOP deposit accounts, ensuring proper stewardship and oversight of plan assets.Champion the EOS leadership model to guide and develop administrative staff, ensuring performance management, professional development, and oversight of workflows. Employ EOS mechanisms—including Level 10 Meetings, Quarterly Conversations, and other foundational tools to drive engagement, accountability, and continuous improvement across the team.Oversee customer credit evaluations, contract compliance reviews, and certified payroll submissions to support revenue integrity and regulatory requirements.Ensure timely and compliant submission of all business licenses, sales tax filings, FCC filings, and other regulatory or statutory reports.Lead year-end close activities and reporting, ensuring accuracy, audit readiness, and adherence to financial standards.Coordinate and prepare financial components required for annual ESOP valuation processes.Oversee bi-weekly payroll processing, ensuring accuracy, timeliness, and compliance with labor and tax regulations. Additional Duties and Responsibilities:Coordinate executive-level meetings, company events, and EOS session logistics with a high degree of professionalism and operational efficiency.Manage corporate sponsorship invoicing, annual awards programs, and related financial tracking to support brand visibility and community engagement.Lead business insurance reviews, annual policy renewals, and risk assessment activities in partnership with executive leadership and insurance providers.Oversee workers’ compensation audits, insurance compliance reviews, and government registrations (SAM, SWAM), ensuring organizational readiness and regulatory alignment.Prepare and submit monthly bank reporting packages to support lender requirements and financial transparency.Develop and maintain departmental P&L reports, ensuring accurate cost tracking and accountability across business units.Ensure the timely submission of monthly and quarterly FCC filings and related invoice payments to maintain regulatory compliance.
