Automotive Billing Clerk
The Automotive Billing Clerk is responsible for accurately processing vehicle deals, preparing billing documents, and ensuring all sales transactions are completed in compliance with dealership policies and state regulations. This role works closely with sales, finance, and accounting to maintain accurate financial records and timely funding.
Key Responsibilities
- Process and post vehicle deals for new and used car sales
- Prepare and submit customer billing, including sales contracts, DMV paperwork, and lender documents
- Verify accuracy of sales figures, taxes, fees, and rebates
- Bill out deals and ensure proper posting to accounting system
- Coordinate with Finance Managers and Sales Managers to resolve discrepancies
- Submit completed deals for funding and track funding status
- Process dealer trades, wholesales, and payoffs as needed
- Maintain organized deal jackets and digital records
- Ensure compliance with dealership policies and state DMV regulations
- Assist with month-end closing tasks related to vehicle sales
Qualifications
- High school diploma or equivalent (required)
- Previous automotive dealership experience preferred
- Experience with dealership accounting systems (Reynolds & Reynolds, Dealertrack, etc.) a plus
- Strong attention to detail and accuracy
- Ability to manage multiple deals and deadlines
- Basic accounting and math skills
- Proficient in Microsoft Office (Excel, Word)

- Ability to work in a fast-paced dealership environment
- Knowledge of vehicle sales paperwork and DMV requirements
Work Environment
- Office environment within an automotive dealership
- Full-time schedule; occasional overtime may be required during month-end
