Award Analyst / Investment Office Manager
Location: 100% Onsite Employment Type: Full-Time, 1st Shift (MondayFriday, 8:00 AM5:00 PM)

Position Summary
The Investment Office Manager is a crucial member of a thirteen-person investment team, supporting all aspects of the office's administrative and operational activities. This full-time, 1st shift role works closely with the Investment Operations Director and Chief Investment Officer. The position blends the responsibilities of executive assistant, office manager, and investment operations analyst.
Key Responsibilities
- Demonstrate comprehensive knowledge of investment office operations; proactively communicate and resolve issues.
- Exercise independent judgment and provide regular updates through daily and weekly progress reports.
- Manage high-volume office email accounts; track and follow up on actionable items, supporting clear communication within the team and with external investment managers.
- Oversee the preparation, communication, and internal tracking of daily cash flows; maintain and update online portfolio management systems.
- Support annual tax and audit confirmation processes, coordinating with auditors and internal teams for compliance across a large, diversified portfolio.
- Schedule and prepare materials for investment committee meetings; coordinate with committee members and handle all logistics.
- Provide executive administrative support, manage team calendars, handle phone lines, coordinate domestic and international travel, and prepare expense reports.
- Serve as liaison for key internal and external contacts across all levels, ensuring smooth workflow and facilitating information exchange.
- Maintain office supplies and records, direct small projects, and coordinate with vendors and internal departments for seamless office operations.
- Onboard and support technology and equipment needs for new and existing team members (e.g., phones, laptops, tablets, office setup).
- Manage department purchasing and invoicing (using systems such as Ariba) and reconcile transactions with financial service providers and vendors.
Qualifications & Experience
- High ethical standards and personal integrity.
- Self-motivated, proactive, and intellectually curious.
- Strong interpersonal and professional communication skills; comfortable interacting at all levels within and outside the organization.
- Highly organized, able to prioritize, multitask, and adapt in a fast-paced setting.
- Works independently and as part of a team to deliver accurate, timely results.
- Excellent numerical literacy, analytical, writing, and editing skills.
- Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe products.
- 58 years of related experience preferred, ideally within financial services.
- Office management or executive assistant experience required; investment/financial terminology familiarity strongly preferred.
- Bachelor's degree required; preference for candidates familiar with financial, legal, or investment terminology.
