Summary of Responsibilities:
Conduct regular audits of benefits data across Employer's Benefits, HRIS, and Payroll administration platforms, as well as vendor/carrier systems.
Ensure timely distribution of required employee notices.
Assist with regulatory reporting for healthcare and retirement plans.
Develop and maintain process instructions to ensure long-term data integrity and accurate reporting.
Identify and recommend opportunities for operational improvements; collaborate with HR to implement enhancements.
Collaborate with HR team and external vendors for report generation and issue resolution.
Audit and review reports to identify discrepancies and ensure accurate data transfers with vendors.
Document necessary corrections to maintain regulatory compliance.
Provide support for employee and system inquiries regarding benefits and coverage changes.
Verify monthly premium statements for all group insurance policies.
Review dependent and life event documentation to confirm eligibility.
Support the implementation of new benefits administration platforms.
Organize and facilitate events to educate employees on company benefits programs.
Coordinate local wellness initiatives and events.
Assist with Open Enrollment activities, including scheduling communications, updating materials, testing platform functionality, and supporting employees throughout the process.
Conduct benefits orientations and explain the enrollment process, as needed.
Coordinate leave requests in partnership with third-party administrators, employees, and HR; support transition to third-party leave vendors.
Perform additional duties and assignments as required.
Candidate Profile
Professional Experience & Specific Skills
Mandatory Requirements:
- 25 years of experience in benefits administration or HR compliance within the U.S.
- Working knowledge of U.S. benefit plans: medical, dental, vision, disability, life insurance; 401(k), HSA, FSA.
- Proficient in Microsoft Office Suite, with advanced Excel skills.
- Experience with PeopleSoft, SuccessFactors, or comparable HRIS systems.
- Strong analytical abilities and attention to detail; demonstrated history of process improvement.
- Ability to handle confidential information and deliver exceptional customer service.
- Excellent organizational, communication, and interpersonal skills.
- Proven ability to work both independently and collaboratively; effectively prioritize workload.
Strongly Preferred:
- 5+ years of relevant experience in U.S. benefits administration or HR compliance.
- Knowledge of U.S. benefits compliance requirements: ACA, ERISA, COBRA, 401(k) reporting, required notices.
- Experience with data analytics, process automation, and AI in benefits administration.
- Experience implementing new benefits administration platforms.
Education & Training
- High School Diploma or equivalent required.
- Additional education or specialized training in HR or benefits administration preferred.
Language Skills
- Fluent in English (spoken and written).
Physical Requirements
- Regular use of hands and visual acuity for computer-related work.
- Frequent reaching, prolonged sitting and standing.
- Occasional bending, stooping, kneeling, or crouching.
- Ability to speak and hear clearly.
- Ability to lift and move objects up to 10 pounds.
- Flexible working hours to support a 24/7 environment may be required.
