Civil Service Title- Principal Administrative Associate II* IN ORDER TO BE CONSIDERED FOR THIS POSITION CANDIDATE MUST BE SERVING PERMANENTLY IN THE TITLE OR BE REACHABLE ON THE OPEN-COMPETITIVE . *The Division of Bridges seeks to hire a Principal Administrative Associate L2 to work in the Management Support Services/Community Affairs Unit. The successful candidate under the supervision of the Executive Director of Community Affairs will have the following responsibilities but not limited to:Provide administrative support for the Executive Director of Community AffairsManage recoupment processing between the Bureau of Maintenance Inspections and Operations and the DOT Finance teamPrepare trip packages and travel coordination assist with the preparation of travel package by ensuring required documents are submitted; settle reimbursement package upon return; provide/complete Fiscal Certification Form DOT FMS Imprest Fund Voucher Personal Travel Expense Report; submit post conference reportManage Outlook calendars and schedule meetings utilizing Outlook311 Taskforce Manager: reviews 311 complaints in the system. Ensure complaints are responded to in a timely manner by Siebel users and follow up where necessary.Review ARTs cases including updating working notes closing cases and redirecting casesHandle litigation requests/inquiries for the divisionManage the units absence control calendarsDraft memos and correspondencesConduct administrative tasks including scheduling scanning distributing documents and maintaining all filesTrack Community Construction Liaison weekliesInteract with the public on phone calls and inquiriesAssist with special projects as needed.Preferred SkillsStrong written and verbal communication skillsKnowledge of ARTs and SiebelKnowledge of MS Word Outlook ExcelWork Location55 WATER ST MANHATTAN 10041Hours358:00AM - 4:00PMResumes may be submitted electronically using the following method: For City employees only go to Employee Self Service (ESS) Careers and Search for Job ID# 757846. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or 2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in 1 above; or 3. A four-year high school diploma or its educational equivalent approved by a States department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in 1 above; 4. Education and/or experience equivalent to 1 2 or 3 above. However all candidates must possess the one year of administrative or supervisory experience as described in 1 above.
