Often FCS leads the nation in initiating research studies and offering ground-breaking new therapies to patients.Come join us today!Summary:Provides full-time general office support across a variety of clerical activities. Responsible for operating incoming telephone lines attending to visitors and dealing with telephonic and face-to-face inquiries at designated office site. Responsible for the distribution of incoming mail or packages from all delivery services and coordination of outgoing mail or packages. Responsible for keeping all shared office spaces clean clutter and debris-free to a professional standard and aids meeting organizers using shared meeting or resource spaces supplies and equipment. Responsible for ensuring office equipment is safe and in working order. May coordinate with building management for repairs or other facilities-related tasks. Responsible for monitoring and ordering office supplies and management of order restock requests as well as prompt unpacking of delivered supplies. Performs other duties and projects as assigned.Demonstrates working knowledge of a corporate office facility. Performs all duties in accordance with regulatory requirements and organizational policies and procedures.PRIMARY TASKS AND RESPONSIBILITIES:General Responsibilities Stakeholder FacingGreet visitors vendors and staff in a courteous professional and helpful manner.Appropriately guides visitors to the assigned meeting location or holds guests comfortably in a waiting area until called.Appropriately advises internal stakeholders and or assigned administrative staff of visitor arrival.Liaises with meeting organizers and visitors using shared resources or space to ensure meeting needs are met and guests return space to professional working order after use.Manages group resources and meeting space calendars to avoid booking conflicts.Professionally answers all incoming phone lines and appropriately uses hold and forward functions to correctly direct the call.Uses overhead page system with professionalism (if applicable at the site of assignment).Assists with a variety of administrative tasks which may include copying faxing binding or other general tasks.Works with internal facilities staff and landlord to coordinate repairs and maintenance. Always working to minimize disruptions to on-site staff.Works with Marketing and building management company to ensure all signage is in approved art formats in working order and not damaged or providing conflicting information.Responsible for posting any new business materials received in visible work areas (i.e. Compliance hotline posters or Fair Work Act posters).Plays an active role in workplace security by issuing checking and collecting badges as necessary and maintaining visitor logs.Maintain a good relationship with Company Safety Officer to ensure the site participates correctly in safety drills and all regulatory safety requirements as dictated by the safety team.General Responsibilities Internal DutiesMaintains a safe and clean reception area and shared office spaces or other group resource spaces.Correctly receives sorts and distributes mail.Responsible for coordination of outgoing mail with appropriate rates and service selection via the Company mail rate program.Maintaining stock levels of general office supplies.Timely unpacking of supplies when delivered.Ensures company equipment is in safe and working order.Additional duties as assigned.EDUCATION/CERTIFICATIONS & LICENSES:High School diploma required.EXPERIENCE: At least one year of general office experience or a customer service-centric role is required.Experience with a multiple line telephone system is highly regarded.CORE COMPETENCIES KNOWLEDGE/SKILLS/ABILITIES:Strong interpersonal skills including effective verbal and written communication.Thoughtful in assessing the needs of any stakeholder or office resource and acting to provide appropriate service or repairs.Comfortable exploring solutions with any stakeholder.Ability to collaborate across various levels of management departments and teams.Solid time management with the ability to prioritize multiple tasks.Strong attention to detail.Working knowledge of MS Office suite and Adobe products.Can work autonomously.Always maintains confidentiality.VALUES:Patient First Keeping the patient at the center of everything we doAccountability Taking responsibility for our actionsCommitment & Care Upholding FCS vision through every actionTeam Working together one team one missionExpectations for all EmployeesEvery FCS employee is expected to regularly conduct themselves in a professional and respectful manner to comply with all labor laws workplace policy and workplace practices.
