Position SummaryThe Chief Administration Officer leads Elite Cores administrative, financial, and HR functions. This role ensures accurate, timely financial reporting, clean systems, and consistent performance across all administrative workflows. Precision, accountability, and operational clarity define success.Team LeadershipThis position is expected to direct, mentor, and hold accountable several positions in the administration wing, including: Purchasing Agent, Sales Tax Clerk, Bank Reconciliation Clerk, HR Administrator, and others as the department grows.Conduct weekly check-ins and structured video meetings for remote rolesBuild a culture of accuracy, ownership, and clear communicationDevelop systems and processes that scale with growthFinancial Leadership & ReportingMaintain the integrity of QuickBooks EnterpriseOwn month-end close; deliver financial statements and insights to leadership and banking partners, including Statement of Cash FlowsKeep A/P and A/R ledgers clean and current; resolve variances immediatelyOversee Gusto payroll entries, reconciliations, and timely tax remittancesCompliance, Controls & ProcessEstablish and maintain strong segregation of duties across purchasing, receiving, payables, receivables, and reconciliationCreate and enforce SOPs for purchasing-to-receiving-to-A/P, bank reconciliation, month-end close, and sales tax complianceEnsure all filings, payments, and records are audit-ready and punctualOperational & HR OversightCoordinate with the bank to verify all outgoing wire transfers, ensuring payees and amounts are confirmed promptly and accuratelyOversee payment of Arkansas use taxesVerify and maintain sales tax exemption forms for all applicable customersManage tax exemption statuses across company platforms to ensure accuracyMonitor cash flow and coordinate with leadership on prioritiesSupport budgeting and forecasting with accurate, actionable reportsOversee HR administration: onboarding, offboarding, employee reviews, and compliance documentationQualificationsExpert-level knowledge of QuickBooks Enterprise and GAAP standards.Proven success managing multi-person admin/accounting teams.Hands-on experience with Gusto or equivalent payroll systems.Clear, professional communicator; calm under pressure; relentlessly organized.Manufacturing, assembly, or distribution experience preferred. Multi-state tax knowledge a plusWork Environment & ExpectationsLocation: Greenbrier, Arkansas (office-first with hybrid coordination)Expected to be in the office whenever possible; flexibility for remote work as needed to maintain performance and balancePerformance is measured by results, accuracy, and leadership - not desk timeRegular video collaboration required for remote A/R, sales tax, and reconciliation rolesCompensation & BenefitsSalary: $100,000-$120,000 per year, based on experience401(k) Matching Program: Up to 4% matchSupplemental Health Insurance Options (not major medical)Paid Time Off: 2 weeks annually, increasing with tenurePaid Holidays: 8 per year
