Position Summary:

The Client Care Coordinator will be responsible for overseeing the day-to-day administrative operations of our branch office. This role includes managing office tasks, supporting the RWA team, and ensuring that the office operates in a professional, organized, and efficient manner. The ideal candidate will be proactive, highly organized, and have strong communication skills, all while maintaining a high level of professionalism.


Key Responsibilities:

Office Operations & Support:

·        Assist with front office operations, including greeting clients, answering phone calls, and directing inquiries to the appropriate team members.

·        Maintain the office environment to ensure it is organized, clean, and presentable at all times.

·        Order office supplies, maintain inventory, and ensure office equipment is functional.

·        Assist in preparing and processing account documentation and client reports.

Client Relations:

·        Serve as the first point of contact for clients visiting the branch or calling in.

·        Provide general information to clients regarding services offered and direct them to appropriate team members.

·        Maintain client records, ensure accuracy, and assist with scheduling appointments.

Administrative Support:

·        Assist in coordinating meetings, appointments, and events for advisor(s) and clients.

·        Prepare, organize, and maintain files, records, and other essential documents.

·        Handle incoming and outgoing correspondence, including mail, email, and faxes.

·        Support compliance by ensuring necessary documentation and forms are up to date.

Financial Document Management:

·        Assist with data entry, processing forms, and maintaining client files in accordance to privacy policies and regulatory standards.

·        Ensure that all paperwork, filings, and data are properly organized and filed away.

Branch Coordination:

·        Work closely with the RWA Advisors and team members to ensure smooth daily operations.


Qualifications:

·        4-year college degree or higher; a degree in business administration, finance, or a related field is a plus.

·        Previous experience in an administrative role, preferably within a financial services environment.

·        Strong organizational skills, with the ability to multitask and manage competing priorities.

·        Excellent communication skills (written and verbal) and a friendly, professional demeanor.

·        Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment (copiers, scanners, fax machines).

·        Ability to maintain confidentiality and handle sensitive information with integrity.

·        A proactive, resourceful attitude with a strong attention to detail.

·        Basic understanding of financial products and services is a plus, but not required.



Work Environment:

·        Full-time, in-office position.

·        Monday through Friday schedule (8am to 5pm).

·        Occasional overtime may be required to support needs.
