Job descriptionSummary/ObjectiveReporting to the Essential Planning Team Client Transition Lead is responsible for overseeing the success of Essential Planning clients being properly onboarded into various service lines making and tracking appointments with essential planners and helping transfer clients out of Essential Planning services. Additionally The Client Transition Lead will generate important management reports as well as track progress of other CWA services being offered to Essential Planning clients.Essential FunctionsOversee the success of onboarding essential clients into accounting tax and advisory services for Essential Planning clients.Manage a team of workbook preparers and help prepare workbooks as needed.Keep an accurate track of meetings and services being offered to Essential Planning clients.Help Essential Planning clients successfully integrate into the Wealth Management Department with assets on the platform.Oversight of interns ensuring successful projection completion and professional development.Interact with various CWA departments and understand those service offerings.Responsibilities and DutiesSet clients up for immediate success by facilitating the implementation process for new clients.Manage Essential Planning preparation team members to ensure workbooks are ready a week before planning meetings are held.Become fluent in Essential Planning service offerings as well as CWA services and become a liaison between Full Planning to Essential Planning and vice versa.Collaborate with various departments to ensure clients receive superior services.Provide administrative support to the Essential Planning team. This includes answering initial client phone calls and assisting (when needed) in responding directly to client calls and email communications.Reaching out to clients that have not scheduled appointments and filling the Essential Planners schedules during season times of the year.Request information directly from the client that may be needed for upcoming meetings or phone calls and follow-up accordingly.Supervise and oversee a group of interns providing guidance training and performance feedback to ensure successful project completion and professional development.Work with Wealth Management team and Retirement Specialist team as Essential Planning clients move assets onto the investment platform.Periodically reach out to clients as needed for tax signatures and other important information needed from the client.Manage and schedule office schedules for remote and onsite team members as well as company events for the internal team.This job description is not designed to cover or contain a comprehensive listing of essential functions or responsibilities that are required of the employee for this job. Essential functions and responsibilities and activities may change at any time with or without notice.Job requirementsEducation and ExperienceBachelors degree preferred high school diploma or equivalent requiredMinimum 3 years related work experience as an administrative assistant requiredProfessional demeanor with a service mentalityExtremely organized detail-oriented competent follow through skillsExcellent verbal and written communication skillsSuperior organization skills - ability to suggest processes and follow upAbility to exercise good judgment/decision making when necessarySkilled in collaborating and managing small teamsProficiency in Microsoft Office software including Word Excel and OutlookSelf-motivated with strong sense of owning the client relationships (internal and external)Ability to independently manage multiple projects to completionTravelMinimal travel is expected generally limited to company-wide retreats or occasional industry events.Work EnvironmentThis job operates in a clerical office setting. This role routinely uses standard office equipment such as computers phones photocopiers filing cabinets and fax machines.Physical DemandsThis is a largely sedentary role; however some filing may be required. This would require the ability to lift files open filing cabinets and bend or stand as necessary.Position Type and Expected Hours of WorkThis is a full-time exempt position with an onsite work schedule.
