Job Description: Functions as Clinical Services Representative for the Child Protection Team (CPT) by acting as the receptionist and being the first point of contact for clients and community partners. Enters data in statewide (CPTIS) and interdepartmental databases. - Answers, screens and directs calls to appropriate CPT staff using a multi-line telephone system. Greets and routes clients, professionals and other visitors to the Child Protection Team. Access multiple outlook calendars and emails each calendar daily to designated recipients. Access and print intake reports for medical providers. Arranges all travel and processes mileage reimbursements for staff members including but not limited to completing online registrations, coordinating flights, hotel rooms and rental cars. - Uploads medical photographs into shared drive. Compiles case files on new referrals and distributes to assigned caseworker. Data entry of client information into the statewide Client Information System. Pays invoices and maintains expenditure spreadsheet. Orders office supplies for multiple office locations. Completes Office of the Attorney General clinical billing for the division. - Completes the release of records and processing of court orders complying with UFCPT's records release policy and statutory requirements. Processes subpoenas and maintains the court calendar for all CPT staff. Calls to confirm court activities and verifies that court orders are received and in place for CPT staff to be able to provide testimony in court. - Coordinates office equipment service and maintenance. Scheduling repairs and shredding service pick up. Performs a variety of other duties as assigned by supervisor according to the daily needs and operation of the Child Protection Team. This may include typing letters and memos, performing errands, contacting individuals regarding meetings/schedules, reporting services/repairs needed, etc.. Responsible to provide childcare to the children that visit the Child Protection Team for services while their caregivers are meeting with CPT staff and need to be supervised in the waiting rooms. - Using personal computer and word processing software, creates, types and updates forms, labels and lists as needed. Replenishes supply of forms and labels as needed to ensure on-going availability. Copy, files, letters, forms, books, clinic notes and other materials needed for staff. Collates and distributes accordingly Maintains and coordinates the schedule for state vehicle fleet and logs parking location. Transports vehicles to and from Motor Pool and car wash on a regular basis. Maintains maintenance and driving logs for state vehicles. Must have valid Drivers' License. Assists other support staff in receiving and distributing incoming mail. Sorts, meters, routes and logs outgoing mail.Expected Salary: $17.00/hour Required Qualifications: High school diploma or equivalent. Valid driver's license and access to reliable transportation.Preferred: EDUCATION & TRAINING- High School Diploma or equivalent EXPERIENCE- At least two years of experience working in an office environment.
