Job DescriptionJob DescriptionSalary: DOEJob Title: CMA / Clerical Support Location: Longview, TexasReports To: Program Director Employment Type: Full-TimePosition SummaryThe CMA/Clerical Support Staff plays a vital role in supporting clinical operations. This position ensures smooth front-office functioning, assists with patient care, and promote awareness of New Era Therapeutic Counseling Centers mission and services.Essential Duties and ResponsibilitiesClinical Support (CMA Duties):Conduct patient intake, including vital signs and medical historyAssist providers during psychiatric evaluations and proceduresPrepare lab specimens and manage documentationEducate patients on medications, treatment plans, and follow-up careUnderstanding of medical terminologyMonitor patient behavior and report concerns to clinical staffMaintain accurate and confidential health records in EHRClerical and Administrative Duties:Serve as first point of contact for visitors and callersProficiency in medical record systems and basic computer applications, such as Microsoft Office and Google Suite.Schedule appointments and coordinate referrals within 72 hours of initial contactOrganize and maintain client files according to state standardsPrepare correspondence, outgoing mail, and marketing materialsManage office supply inventoryFacilitate client admissions and ensure billing accuracyMaintain reception area and ensure a welcoming environmentPrepare monthly newslettersEducate clients on insurance coverage and billing processesCoordinate staff meetings and assist with training and orientationSafety and Compliance:Act as Safety Officer, ensuring adherence to safety protocolsOrganize regular safety meetings and emergency preparedness drillsMonitor compliance documentation and assist with chart auditsQualificationsHigh School diploma required; AS or BA/BS preferredActive CMA certification from an accredited programBCLS - Basic Life Support issued by American Heart Association (AHA) or American Red Cross (ARC) or American Safety and Health Institute (ASHI)Minimum 1 year experience in behavioral health or outpatient careExperience in customer service, sales, or healthcare outreach preferredCritical thinking skills for analyzing and resolving clinical and administrative challenges.Strong interpersonal, communication, and organizational skillsDemonstrated time management and organizational abilities in a fast-paced environment.Proficiency in EHR systems, Microsoft Office, and data entryAbility to work independently and collaboratively with diverse populationsAbility to read and interpret documents, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively and fluently.Valid drivers license and reliable transportation requiredAbility to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals, Ability to compute rate, ratio, and percent and to draw and interpret bar graphs Physical & Work EnvironmentModerate noise level in clinical and office settingsRegular walking, sitting, reaching; occasional standing, stooping, kneeling and lifting 25lbs.Reasonable accommodation is available for individuals with disabilities
