Job Description
This new position supports the planning, development, and execution of organizational communications across digital and print platforms, as well as provides editorial and administrative support for the Society's Journal. The individual will serve as a liaison to assigned committees to help accomplish their stated initiatives and goals. This role combines strong writing, editing, and organizational skills to maintain a consistent brand voice, support content creation, and ensure smooth day-to-day communications operations. Duties and Responsibilities Assist with editorial support for the Society's Journal, JPOSNA , including coordinating content, managing deadlines, tracking submissions, and supporting editorial workflows. Assign submissions to editors within Editorial Manager after ensuring authors submit materials in the prescribed format and with all required documents. Monitor manuscript progress and follow up with editors and reviewers if delayed. Review final proofs, ensuring journal style is followed. Upload videos from each issue to POSNAcademy. Serve as customer service contact as support for authors. Oversee journal website to ensure updates are made and content is relevant. Maintain historical records and documentation. Monitor JPOSNA email box and respond to inquiries. Support the development and execution of internal and external communications, including website content, email communications, newsletters, reports, and promotional materials. Draft, edit, and proofread as needed a range of communication materials, including newsletters, announcements, email campaigns, social media, and website copy. Ensure clarity, accuracy, consistency and alignment with organizational brand guidelines. Collaborate with staff, committees, and leadership to gather content and ensure timely dissemination of information. Create and distribute targeted email campaigns and monitor analytics to measure engagement. Maintain calendars and to assist with planning communications and campaigns. Maintain POSNA websites to ensure content is current and accurate. Oversee document management, archiving, and version control for communications and editorial materials. Maintain digital files, media archives, and documentation. Coordinate, implement, and evaluate committee activities. Support the OrthoKids and Resident Communications Committees, and JPOSNA Editorial Board. Serve as staff liaison to the e-Editorial Committees. Facilitate communication between authors, committees, and relevant stakeholders to collect, maintain, and publish content on the Society's video portal, POSNAcademy. Ensure required permissions are obtained. Provide support and guidance to leadership, committees, and staff. Support leadership, committees, and staff with agenda development, arrange and communicate the meetings; distribute agenda materials; write appropriate reports; draft, distribute, and archive meeting minutes/official business; and conduct follow-up on action items. Work with leadership and staff to implement committees' deliverables on time and within budget. Work with the marketing/communications team to develop and coordinate communications schedule. Review and evaluate activities on a regular basis; ensure committees are meeting objectives; provide guidance, as necessary. Evaluate and/or maintain procedures, descriptions, announcements, statistical reports and history. Develop and maintain effective communications and relations with leadership. Develop and maintain protocols and procedures related to position responsibilities. Perform all other job-related duties as required or assigned. QUALIFICATIONS: Bachelor's degree in communications, journalism, English, or related field. 2-4 years of experience in an editorial, communications role. Supporting an academic or professional journal is a plus. Must be detail-oriented and organized, with exceptional time management skills. Self-motivated, creative, and able to thrive in a fast-paced, team-oriented environment. A cooperative, supportive, and "can do" attitude is crucial to success. Excellent written and verbal communication skills. Strong member service mentality and delivery. Ability to work both independently and in a team environment. Proficient in Microsoft Office and the ability to learn other software that is integral to the position. Travel: 3-5 days a year
