Coordinator Exceptional Learner and Related Services DepartmentGENERAL SUMMARYProvides support to the Special Education leadership team regarding the areas of Out of District school placements budgeting and compliance. Consultation and support specific to monitoring of contracts for OOD and IEEs Department payroll management tutoring and other duties as assigned.ESSENTIAL DUTIES & RESPONSIBILITIESSuccessful candidate will have direct experience including but not limited to creations of purchase orders accounts payable student file maintenance invoice reconciliation and payroll.MINIMUM JOB QUALIFICATIONSAssociate degree required; Bachelors Degree preferred. At least five years experience at an Administrative Assistant level with a minimum of two years experience in Special Education/Exceptional Learning. Appropriate education/experience substitutions can be made.KNOWLEDGE SKILLS and ABILITIESSupports Exceptional Learner Leadership team in the monitoring of compliance requirements as it applies to Out of District placements and DESE compliance.Monitors and coordinates all requests for IEEs (Independent Education Evaluations) and contract. Oversees timecards and payroll submissions including documentation of vacation sick time for department for administrators approval.Works closely with theChief and Asstant Chief ofExceptional Learningin all areas of responding to student record requests parental complaints and general exceptional learning support.Create and maintain individual documentation files for ODD students including tuition invoices additional services and IPAsAssist with determining cost of special education programs/servicesAssist in Creating and maintaining contractsAssist in projection of A/R for next fiscal yearMaintain copies of OOD invoices for each student Assist with Out of District cost projection for the next fiscal year.Process purchase order change request forms as needed Effectively communicate with both internal and external offices and agencies.Maintain list of students recieivng home tutoringCoordinate home/hospital tutoringKnowledge of Springfield Public School District Proficient in computer/technical skills with Microsoft Office Outlook and Excel Experience working with diverse populationsAbility to handle common inquiries or complaintsAbility to use (or learn to use) computer software and systems applicable to the positionAbility to operate standard office equipment such as a computer keyboard monitor copies scanners and telephoneAbility to communicate effectively orally and in writingAbioity to completeother duties as assignedPHYSICAL REQUIREMENTSExerting up to 10 pounds of force occasionally a negligible amount of force frequently and/or or constantly having to lift carry push pull or otherwise move objects including the human body.WORKING ENVIRONMENT This position requires employee be in an office or similar indoor environment. Employee is frequently exposed to individuals who are rude or irate and is occasionally exposed to individuals with known violent backgrounds.
