Our connection to the larger metropolitan area is essential to our success and provides a wealth of diverse cultural and recreational opportunities.Primary Duties and Responsibilities: The Department Administrative Assistant provides administrative support for the Associate Vice President for Planning, Performance and Analytics and the Manager of Research and Analytics, ensuring smooth departmental operations by managing schedules, communications, and handling administrative functions. On behalf of the Associate Vice President, the department administrative assistant coordinates high priority projects within the department and collaborating with Research and Analytics staff and other COD staff. Provide comprehensive administrative support for the Associate Vice President for Planning, Performance, and Analytics and the Manager of Research and Analytics.Serve as budget coordinator for the Research & Analytics department. Processes, monitors, and reviews invoices, purchase orders, RFPs, contracts, maintain documentation for the department as needed, and be the point of contact for departmental purchasing.Serve as department receptionist; handle mailings, phone calls, phone tree calls; handle department email inboxes; route emails and calls to appropriate staff both within and outside the department.Respond directly to requests for existing data and route requests for data to appropriate staff while keeping track of data requests.As Department Records Delegate, adhere to and handle records retention and disposal in accordance with State of Illinois Local Records Act, COD Board Policy, and Administrative Procedure.Plan and execute meetings and events for the Associate Vice President, Manager, and department staff, including scheduling via Astra, sending meeting invitations, catering, planning activities, arranging appropriate technology, and coordinate with other College departments such as Conference and Events, Scheduling, and Custodial.Perform secretarial and office management duties including maintaining master office calendar and schedule of departmental projects and events; maintaining the daily college enrollment history and disseminate to college staff upon request; performing data entry into PC/network databases; maintaining the office equipment and supply inventory; and training departmental staff on office equipment operation.Maintain, organize, and archive departmental materials, records and files.Other related duties and projects as assigned.Qualifications:EducationHigh School graduate required.Some College preferred; Associates degree in office management/office procedures highly preferred. ExperienceTwo (2) years of office experience required.Proven experience working with highly confidential documents required.Proficiency in MS Office (especially Outlook, Word, Excel, Teams) and willingness to learn new software required.Ability to work autonomously and with a team required.Working Conditions:Pleasant office. Ability to work in an open environment is required. This position requires a background check and drug screen.Hiring Range:6 Hourly/Starting salary beginning at $20.14/hourly based on education and experience.Anticipated Start: January 2026Competitive starting pay is dependent on education and experience.
