Job Description
Summary:The Document Specialist supports the Finance and Sales teams by preparing printing and facilitating all deal paperwork required for funding.This role ensures documentation accuracy gathers signatures assists with cash deals and helps move deals through the contracting and funding process efficiently.Duties and Responsibilities:Prepare print and organize deal documentation for funding and billing.Enter or retrieve deal forms in CDK as needed including printing bills of sale for cash deals.Review all documents for accuracy including title information taxes fees and lienholder data.Work with Finance Managers to obtain required signatures and ensure complete funding packets.Submit and track finance contracts to ensure timely approval and funding.Communicate with lenders and customers when additional documents or corrections are needed.Assist with cash handling including counting cash and confirming payment amounts.Verify insurance trade payoffs and required supporting documents for each deal.Maintain organized deal jackets and prepare completed deals for handoff to Billing.Support other office or finance tasks as needed to keep deal flow moving.Qualifications : Strong computer skills and ability to learn dealership software (CDK experience a plus).Exceptional attention to detail and accuracy when handling documents and financial data.Saturday availability is required; Comfortable working long hours in a fast-paced environment.Strong communication skills and professionalism with customers lenders and internal teams.Ability to handle confidential information and cash with accuracy and integrity.Valid drivers license with acceptable driving record and ability to pass pre-employment screenings.Must be authorized to work in the United States.Preferred Qualifications: Prior experience in an automotive dealership particularly in titles billing F&I or contracting.
