DEPARTMENT: SERVICE AND SPECIAL PROJECTSREPORTS TO: SERVICE MANAGER TECHNOLOGY SOLUTIONSOVERVIEW:The Service Coordinator supports the service department.NO RECRUITERS OR AGENCY CALLS RESUMES OR EMAILS PLEASECompensation for this role: $28-$35/hr Depending on ExperienceGeneral ResponsibilitiesMaintain open communication lines with all working relationshipsFollow up to ensure items for which the job is accountable are performedEarn and maintain customer trustUphold the core values of the organizationWork well with others to accomplish the mission of the organizationSpecific ResponsibilitiesProvide excellent customer service through communication scheduling and follow-through in line with core values of the organizationCoordinate schedule for Service Technicians and ensure provision required items to perform their roleOwn and execute administrative tasks and event duties for the service departmentWork Order ProcessingAnswer calls from customers on service lineCreate work orders received from service line or pass information to Account ManagersEvaluate new work orders for completion and accuracyTrack deadlines and communicate with customers to schedule work in timely mannerMaintain scheduling board run weekly scheduling meeting and input assignmentsReview previous days assignment statuses and notes and coordinate any outstanding items with Supervisors or Service Technicians or move to billing statusAnswer calls from Service TechniciansCheck and escalate or action internal feedback on daily basisUpdate customer contact information as necessaryMaintain multiple customer portalsOrder material equipment or subcontracting from vendors and coordinate deliveryUphold Service Pledge and Work Order ProcessCoordination and support to Service TechniciansProcess departmental onboarding and offboarding of technicians and apprenticesMake updates to accounts for Field Connect Encore store etc.Create and maintain new van binders as neededAssign/request repairs for cell phones iPads and their softwareMaintain Service Technician uniform inventoryAssist with vehicle fleet management assignments and spare van coordinationRecord management and administrative needsCreate and update department documents and recordsProcess record and audit PTO requests for the departmentCreate on-call schedule and coordinate updates with on-call serviceMiscellaneous office administration to support the departmentEvent planningPlan weekly and monthly meetings including calendar invitations room reservations and cateringRequest and make arrangements for safety iPad or other training as requiredPlan and host annual department eventsPlan quarterly office birthday celebrations and send cards to field personnelCoordinate with Account Managers the distribution of holiday gifts and cards to customersOther duties as may be assignedKNOWLEDGE SKILLS AND ABILITIES:Knowledge of:Scheduling coordinationSpectrum or FieldConnect Software but not requiredMicrosoft Office products specifically Outlook PowerPoint and ExcelSoft skills and high emotional intelligence/controlSkill in:Providing exemplary customer serviceScheduling and directing peopleAnticipating needs of service department from a coordination standpointDecision making prioritizing service requests and making quick judgementsTime management problem solving multitasking forward thinkingAdapting to new and changing requirements environments and/or informationEstimating resources needed to complete required tasksBusiness writing; effective written and oral communication sufficient to be able to elicit and communicate information and achieve understandingEstablishing and maintaining effective working relationships with customers vendors consultants management and employeesOrganizing work to accomplish tasks; prioritizing and reprioritizing to meet job needsAbility to:Think outside the boxApproach work with highly organized mindsetTrack numbers and dataStay focused in a high stress environmentBe a Team PlayerWork well under pressurePHYSICAL REQUIREMENTS:ClimbingCrawlingDrivingKneelingLifting (up to 50 lbs)SittingStandingStoopingVision acuity (near and far)WalkingREQUIREMENTS:Previous experience in customer service scheduling or other coordination/administrative work will be highly regarded.Previous experience with AV Integration Telecom or Construction Administration will be highly regarded.High School Diploma Required.Benefits of this role: Encore Electric provides excellent benefits for our employees including: medical dental and vision plans disability and life insurance employee-matched 401(k) paid time off (PTO) an employee assistance program that includes counseling legal and financial advice.
