Security Sensitive Position?:YesHours of Work:8:00 AM - 5:00 PM M-FPosting Number:TSU203594Official TSU Title:CRM Administrator, Enrollment ManagementGrant Title:N/AJob Description Summary / TWC Summary:Job Summary:Under general supervision, the CRM Administrator is responsible for managing optimizing the university’s Customer Relationship Management system to support the strategic and operational goals of the Division of Enrollment Management by analyzing, maintaining, and optimizing admissions systems, processes, and data. This role is responsible for ensuring accurate reporting, process improvement, and effective use of technology to enhance, reporting, admissions, and enrollment functions. The CRM Administrator serves as a key liaison between admissions, enrollment services, marketing, information technology, and other campus stakeholders.Distinguishing Characteristics:Change AgentStrategic thinkingData Management and ReportingCompliance and Data SecurityProblem-solving and decision-makingMultitasking and Time ManagementAdaptabilityTechnological ExpertiseCRM ExperienceAdmissions and Enrollment ExperienceEffective Collaboration and Communication SkillsSystems and Data ManagementEssential Duties Summary:Configure, maintain and troubleshoot the CRM system to ensure optimal performance.Manage user roles, permissions and data integrity within the CRM.Oversee data imports, exports and cleansing to maintain accurate records.Monitor Key Performance Indicators (KPIs) related to admissions.Design and maintain automated communication workflow for prospective students.Ensure timely and personalized outreach through email, SMS and other channels.Manage and maintain admissions and enrollment-related systems (e.g., CRM, SIS, document management tools).Ensure data integrity, accuracy, and security across systems.Ensure compliance with FERPA and other data privacy regulations.Develop and monitor workflows, automated communications, and system configurations to support admissions operations.Partner with OIT to implement system updates, patches, and integrations.Generate, analyze, and distribute admissions and enrollment reports for leadership and campus stakeholders.Track application, admit, and yield trends to inform recruitment and enrollment strategies.Provide predictive and comparative analysis to support decision-making.Build and maintain dashboards for real-time monitoring of enrollment metrics.Evaluate admissions and enrollment business processes and recommend improvements to enhance efficiency and effectiveness.Document procedures, best practices, and training materials for admissions staff.Support compliance with institutional state and federal reporting requirements.Serve as a bridge between admissions staff, OIT, and enrollment leadership to translate operational needs into technical solutions.Provide training and ongoing support to admissions and enrollment staff on system use and reporting tools.Collaborate with financial aid, registrar, and academic departments to ensure seamless student enrollment processes.Performs other job-related duties as assigned.% FTE:1.0Hiring Range:$113,285.61 - $147,271.29Education:Master’s degree in business, data analytics, information systems, higher education, or related field.Master’s degree in information systems, business, marketing, higher education administration, data analytics, or a related field preferredRequired Licensing/Certification:N/AKnowledge, Skills, and Abilities:Knowledge of:Community College Systems, transfer admissions policies, etc.Admissions processes and enrollment management strategies.State, local and federal policies, procedures, practices, and regulations.Admissions Standards, Educational technology and enrollment strategy.Student services-related technology and experience with student information systems.Skilled in:Strong technical skills and the ability to establish clear business process and communicate with a diverse array of constituencies.Both verbal and written communication.The ability to translate technical concepts for non-technical audiences.Ability to:Prepare detailed reports.Work well independently, as well as collaboratively with colleagues.Make presentations to colleagues and other stakeholders.Review, analyze, and evaluate initiative outcomes.Adapt to various competing demands and demonstrate the highest level of service and response.Manage confidential information with the highest discretion.Manage multiple priorities and work collaboratively across departments.Design, communicate, and implement regulations, codes, policies, procedures, and guidelines.Work Experience:Minimum of 5 years of experience in admissions, enrollment management, institutional research, or a related analytical/technical role.Experience with API integrations, third-party tools, and the ability to manage multiple projects and deadlines in a fast-paced environment.Ability to maintain the security or integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment or water treatment system.Proficiency with student information systems (SIS) and/or customer relationship management (CRM) platforms (e.g., Slate, Banner, Peoplesoft, Salesforce).Strong data analysis and reporting skills, including experience with Excel, SQL, or business intelligence tools.Preferred Experience:Three (3) years of CRM administration experience (preferably in higher education).Experience working with Apply Texas, Banner, Slate, Digi Script & other enrollment systems.Experience with Tableau, Power BI, or similar data visualization tools.Knowledge of admissions operations and enrollment management strategies.Extensive Experience working with CRM software.Familiarity with data governance and compliance in higher education.Working/Environmental Conditions:Limited standing and/or walking.Handling lightweight objects.Using or carrying equipment.Stoop, bend or lift.May require routine travel.UA EEO Statement:It is the policy of Texas Southern University to provide a work environment that is free from discrimination for all persons regardless of race, color, religion, sex, age, national origin, individuals with disability, sexual orientation, or protected veteran status in its programs, activities, admissions or employment policies.
