JOB DESCRIPTION

InGenesis is currently seeking Administrative Assistants to work with our client in Albany, NY. In this role, you will be working in the NYS Bureau of Narcotic Enforcement. Apply today and we'll reach out to answer any questions you may have! Job Duties Administrative support responsibilities such as maintaining various tracking and database systems. Format documents in Microsoft Word, PowerPoint, and Excel. Perform data entry operations and data quality control. Monitor shared email accounts and drafting professional responses. Answer phones, refer calls, and answer inquiries. Receive and process mail and fax documents. Print, scan, fax and photocopy documents as needed. Organize and maintain electronic (and paper) files. Perform other duties as assigned. Minimum qualifications include: High School Diploma or equivalent. Excellent working knowledge of Microsoft Office applications (specifically Word, Excel, PowerPoint, and Outlook). The ability to work on a team and handle multiple shifting priorities. Good organizational skills. Ability to correspond with healthcare professionals. Familiarity working in electronic databases. Dependable, highly motivated, and able to work in a fast-paced, high-volume office environment. Preferred qualifications include: Familiarity and knowledge of varied healthcare entities; including pharmacies, practitioners, and healthcare institutions. Familiarity and knowledge of the New York State Health Commerce System. Prior experience working in a New York State Health Department secure, confidential law enforcement environment Manage executive schedules and travel arrangements Managing executive schedules and coordinate travel arrangements Coordinate the executive(s) travel arrangements Make travel arrangements for executives Maintain calendar; coordinate meetings and travel arrangements Support an executive with travel arrangements, managing calendar and scheduling meetings Assist other executive administrative staff and executive management Assist executives with travel arrangements and expense reports Book travel primarily for domestic travel Making travel arrangements and completing expense reports Procure travel arrangements and create travel itineraries with expense management focus Make travel arrangements, both domestic and international travel Assist with corporate travel arrangements Organizing domestic and international travel arrangements for the executive Maintain the executive's calendar and travel logistics Perform all executive assistant office functions Make appointments and travel arrangements Make all necessary travel arrangements Maintain executive's schedules, appointments and travel arrangements Making travel arrangements and prepare expense reports for executives
