Executive Assistant - AKDHC Administration

As one of the nation's largest groups of physicians specializing in the care of patients with renal disease, Arizona Kidney Disease and Hypertension Centers (AKDHC) has enjoyed the trust of patients and the respect of the community throughout the Phoenix Metropolitan area and across Arizona since 1976. We are a professional medical association comprising of physicians and other essential support staff.

The Executive Assistant provides high-level administrative and operational support to the Vice President of Clinical Operations and the Chief Executive Officer. This role is responsible for managing executive scheduling, coordinating leadership activities, supporting board and committee functions, and ensuring timely communication and follow-up on key organizational initiatives. The Executive Assistant must be highly organized, detail-oriented, and professional, with the ability to manage confidential information with discretion. The ideal candidate is proactive, takes ownership of responsibilities, anticipates leadership needs, recognizes issues or priorities that may require attention, and helps keep projects, communications, and follow-up items moving forward effectively.

Key Responsibilities:

  • Provide direct administrative support to the Vice President of Clinical Operations and the Chief Executive Officer, and other executive leadership as directed.
  • Manage calendars, scheduling, and coordination of meetings, appointments, and executive commitments
  • Coordinate board, committee, and leadership meetings, including preparing agendas, meeting materials, attending meetings as assigned, recording accurate minutes, summarizing key takeaways and action items, and distributing follow-up information to appropriate parties
  • Track follow-up items, priorities, and deadlines, and help ensure timely completion by appropriate individuals
  • Draft, edit, and proofread correspondence, reports, presentations, and other executive communications
  • Serve as a liaison between executive leadership and internal or external stakeholders
  • Organize and maintain electronic and physical records, including confidential board and committee materials
  • Support communication flow between leadership, departments, committees, and board members
  • Proactively monitor priorities, identify matters requiring leadership attention, and help keep projects and follow-up items moving forward
  • Anticipate executive needs and take initiative in resolving administrative and operational issues before they become urgent
  • Independently manage assigned responsibilities and follow through with minimal direction
  • Support overall office operations by providing backup front desk coverage during lunch breaks, vacations, and other coverage gaps as needed
  • Help improve administrative processes to support efficient executive operations

Qualifications:

  • Bachelor's degree preferred, or equivalent work experience
  • 5+ years of experience providing direct executive support to C-suite leadership required
  • Experience attending meetings, taking formal minutes, and preparing summaries and follow-up documentation preferred
  • Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Excellent written and verbal communication skills
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize multiple responsibilities, meet deadlines, and adapt to changing priorities in a fast-paced environment
  • Ability to handle confidential and sensitive information with professionalism and discretion
  • Strong judgment, follow-through, and problem-solving ability
  • Demonstrated ability to take initiative, work independently, and anticipate the needs of senior leadership
  • Strong sense of ownership, accountability, and follow-through
  • Ability to identify gaps, escalate issues appropriately, and support efficient decision-making
