Three (3) professional references with contact informationDepartment SummaryThe newly formed School of Computer and Data Sciences (SCDS) brings together and focuses the University of Oregons substantial and diverse research expertise to solve next generation computational and data-driven challenges with impact to society the human experience and the world. SCDS trains citizen-students to innovate and interact with data-driven computational tools and to situate computational use to ensure a benefit to all. SCDS comprises 34 faculty 800 undergraduate majors 70 graduate and doctoral students and its courses annually reach over 1000 students university wide. SCDS is positioned in the College of Arts and Sciences (CAS) and works with the college and university to accomplish shared goals.Position SummaryThe Executive Assistant (EA) supports the work of one or more executives in the SCDS leadership structure. The EA is responsible for a broad set of assignments related to the duties of the leadership they support and will be required to manage complex issues that accompany advancing the SCDSs strategic vision and mission. The EA uses independent judgment and decision-making skills to support the work of SCDS leadership. The EA provides executive-level administrative support by maintaining calendars notetaking and meeting preparation on behalf of executives assisting with communication and information flow (including sensitive and confidential material) including responding to and sending communications on behalf of the executives and coordinating committee work projects programs and events critical to the mission and work of SCDS. The EA is a vital member of the SCDS administrative team and must exhibit appropriate and collegial behavior in a team environment as well as the ability to create a welcoming and professional atmosphere.This position regularly interacts with faculty staff and key university partners including academic leadership in the offices of the President Provost Vice President for Research and Innovation (VPRI) Division of Undergraduate Education and Student Success (UESS) Enrollment Management Campus Planning & Facilities Management (CPFM) and other schools and colleges. The EA must exhibit a high level of sensitivity confidentiality and cultural awareness have the ability to work both independently and as part of a team demonstrate sound judgment and exercise creative problem-solving.Minimum RequirementsThree years of clerical/secretarial experience which included:one year at a full performance level performing typing word processing or other generating of documents; andlead work responsibility or coordination of office procedures.Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.No substitution will be made for the one year at the full performance level.Professional Competencies Excellent effective communication skills. Demonstrated organizational project management and time management skills including attention to detail. Ability to take initiative consult resources and problem-solve in a self-directed manner. Ability to collect interpret and synthesize information from multiple sources. Proficiency with Microsoft Office applications such as Word Excel PowerPoint and Outlook (or similar scheduling/calendar program). Ability to manage stressful or difficult situations in a calm constructive and appropriate manner particularly as it relates to handling sensitive and/or confidential information. Ability to acquire comprehensive knowledge of UO its practices policies programs and personnel.Preferred Qualifications Bachelors degree. Experience in higher education. Experience with data entry and/or data management.
