This position serves as a central hub for information flow meeting coordination documentation accuracy and cross-department project support.This role strengthens consistency improves follow-through and ensures operational clarity across the group.1. Executive & Administrative SupportCalendar management meeting prep agendas and follow-up trackingExecutive meeting notes and action item accountabilityTravel coordination and event logisticsPreparation of presentations one-pagers and leadership communicationsSupport in prioritizing executive workflow and communication flow2. Operations CoordinationSupport operational projects across all rooftops and departmentsMaintain support staff recap sheets shared documentation and monthly reportingAssist with Strategic Initiative tracking and quarterly review materialsPrepare agendas supporting documents and post-meeting summaries for:Support Staff MeetingsManager MeetingsPartner/GM MeetingsAdvisory ReviewsMaintain organized digital systems shared drives naming conventions and version trackingAssist with SOP development (non-HR) operational guides training materials and formattingCoordinate internal roll-outs DMS-related projects and operational changesTrack deadlines deliverables and multi-department progress3. Contracts & Compliance Support Initial review of vendor contracts for clarity accuracy and alignmentIdentify missing terms or inconsistencies and route for proper approvalMaintain contract library renewal dates expirations and rate informationPrepare contract summaries or comparison sheets for executive decision-makingSupport document organization for audits and internal compliance needs4. Internal Culture Communication & AlignmentDraft and support internal communications meeting recaps and executive summariesSupport culture-building efforts within the organizationAssist with planning for leadership development events trainings and internal workshopsMaintain TAG branding standards across documents and presentationsServe as a culture carrier modeling professionalism clarity and consistency5. Foundational Support TasksDocument scanning filing and organizational upkeepMeeting room setup Zoom coordination technology checksPrepare packets binders labels and materials for meetings or trainingsLight data entry spreadsheet formatting and document prepMonitor basic supplies and operational materials as neededQualifications and Skills:Highly organized proactive and detail-orientedStrong written communication skills and document masteryComfortable reviewing contracts; paralegal background is a plusPositive team-first mindset with high confidentialityPrevious administrative assistant experienceAccounting experience is a plus but not requiredSkilled with Microsoft Office Google Workspace and digital systemsOperates with humility follow-through and Teton Auto Group-level professionalismStrong ability to manage multiple priorities and deadlines in a fast-paced environmentExceptional attention to accuracy consistency and version control across documentsComfortable supporting cross-department communication and coordinating with multiple leadership levelsExperience preparing agendas summaries and structured documentation preferredAbility to maintain professionalism and discretion when handling sensitive informationStrong critical thinking and problem-solving skills especially when navigating incomplete informationComfort with learning new systems and adapting to evolving processes and technology toolsTeton Auto Group is an equal opportunity employer.
