This position will provide support to the Chief Medical Officer and senior leadership team of UnitedHealthcare for Employer & Individual in a manner consistent with the highest levels of performance and professionalism based in our Minnetonka, MN office. This position requires solid skills in the areas of relationship building, communication, and partnering with other leaders' executive assistants, as well as with colleagues at all levels in the organization. The role is based in Minnetonka, Minnesota, working in a hybrid model defined as four days per week in the office.Primary Responsibilities:Provide primary support to the CMO with schedule, coordinate and manage meetings, expenses & travel and support to senior leadership teamMaintain and communicate sensitive or confidential information in accordance with internal policies and procedures for the office of the CMOManage active calendars, resolve scheduling conflicts as they arise, prioritize ensuring effective time management for the CMO and other executivesCreate, prepare, and distribute all meeting materialsFamiliarity with charitable/community relations and promotional items budget and sponsorshipsEnsure all resources and technology is set up and working for all meetings Facilitate handling of requests for information; evaluate requests and use judgment to take actionWork effectively as an integral member of a team; provide administrative support on various business unit projects and initiativesPrepare presentations, letters, memos, monthly and quarterly reports, and charts using MS OfficeGreet visiting clients, guests and employeesAttend meetings, capture notes and action items, follow up on action itemsIndependently perform varied administrative duties related to functional areaAct as a liaison and work with building management and UHG facilities manager to maintain awareness of potential issues and or repairs needed within the office environment and coordinate maintenance and repairMaintain and keep updated office and CMO distribution lists Maintain a high level of organization and attention to detail Handle highly confidential information discreetlyInteract with individuals at all levels of the organizationCritical skills:Demonstrated interpersonal skillsTact, diplomacy, and sensitivity to respect confidential informationComfortable with changeAdept at managing multiple prioritiesSolid emotional intelligenceExceptional attention to detail and follow-thoughHigh energy, positive outlook, remains calm in stressful, pressured situations; remains calm when problem solvingYou'll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in.Required Qualifications:5+ years of administrative experience supporting C-suite leaders within a global, complex and fast-paced Fortune 500 organizationExperience supporting multiple executives within a fast-paced, dynamic environmentExperience leveraging AI capabilities such as ChatGPT and Copilot to improve team efficiencyExperience arranging Microsoft Teams virtual meetingsExperience coordinating large meetings for senior leadershipExperience coordinating office moves including hardware and software requisitions, travel arrangements, submitting expenses, new hire onboarding and other office management responsibilities Advanced proficiency within Microsoft Office Outlook, Excel, PowerPoint, Word, Teams, and VisioWilling and able to travel 5-10% +/- depending on business needReside within commuting distance to Minnetonka, MNPreferred Qualifications:Health insurance experienceSharePoint experiencePay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $23.41 to $41.83 per hour based on full-time employment.
