RE+ Myrtle Point, OR

JOB DESCRIPTION

RE+ EVENTS JOB DESCRIPTION Exhibit Services Associate Title: Exhibit Services Associate Reports To: Manager, Exhibition FLSA Status: Exempt Supervisory Responsibility: None Location: Fully Remote (United States) About RE+ Events RE+ Events is a fast-paced, high-energy organization with a highly motivated team and an ambitious agenda. We play a pivotal role in supporting national energy independence by producing the renewable energy industry's most influential events - convening the people, partners, and ideas accelerating the clean energy transition. We are a fully remote organization. Our team works from across the country, brought together by a shared commitment to the work we do and the industries we serve. We've built a remote culture that values clear communication, intentional connection, and trust - and we travel together for events, offsites, and the moments that matter most in person. We design events that drive measurable industry growth. Proceeds from our events are reinvested into the continued expansion of the U.S. clean energy market through SEIA's and SEPA's research, education, and advocacy efforts. Our work has real consequence, and the team behind it operates accordingly - with energy, intention, and a shared commitment to doing the work well. Position Summary The Exhibit Services Associate is the customer service backbone of our exhibitor and sponsor experience across RE+ Events' national and regional shows. This role owns the day-to-day relationship with exhibitors and sponsors - from first inquiry through onsite execution - ensuring every interaction reflects the standard our partners expect from RE+. This is a role for someone who genuinely enjoys helping people, takes pride in the small details that compound into a great experience, and thrives in the controlled chaos of live event execution. You'll work cross-functionally with sales, marketing, operations, and accounting, and you'll be on the show floor when it matters most. Essential Functions To be successful in this role, you'll need to deliver consistently across each of the areas below. Other duties may be assigned to meet business needs and organizational objectives Exhibitor Experience Lead customer service efforts for exhibitors at RE+ events - including welcome communications, deadline reminders, forms collection, and ongoing inquiries - ensuring quality, consistency, and care across every touchpoint. Maintain the online exhibitor manual: keep it complete, current, and easily navigable, and support exhibitors directly when questions arise. Manage the VIP Exhibitor program and ensure all associated benefits are delivered fully and on time. Coordinate with international sales partners and pavilion organizers to support a seamless exhibitor experience for global participants. Serve as the in-house point of contact for our official services contractor (GES), executing assigned tasks within GES platforms across all RE+ events. Sponsor Fulfillment Collect sponsor logos, artwork, and materials, and partner with marketing to ensure proper sponsor recognition across all promotional channels. Process and track all sponsorship fulfillment elements end-to-end, ensuring no commitment is missed. Show Floor & Onsite Support Support the planning and execution of show floor operations across RE+ events. Assist with onsite sales activity, show floor attractions, and event-day programming as needed. Provide sales support and administrative assistance across the team during peak event windows. What We're Looking For Education & Experience Bachelor's degree or equivalent professional experience. Experience in the meetings and events industry, particularly with large-scale tradeshows, is a strong plus. Experience with Map Your Show and Salesforce strongly preferred. Familiarity with association databases, event websites, data collection, or report development is a plus. Skills & Attributes Genuinely customer-oriented - you take pride in helping people and you treat every exhibitor and sponsor like a partner, not a ticket. Strong organizational skills and time management - you can hold many threads at once without dropping any of them. Excellent written and verbal communication - clear, professional, and human. Attention to detail that shows up in the work. Self-starter - comfortable taking initiative and working independently within a small, collaborative team. Who You'll Work With This position reports to the Manager of Exhibition and works closely with colleagues across sales, marketing, education, operations, and accounting. You'll also interact regularly with external partners, exhibitors, sponsors, and our official services contractor. Working Conditions This is a fully remote role open to candidates based anywhere in the United States. You'll work from a home office of your choosing, with all the equipment and tools you need to do the job well. Regular travel required for events - including non-traditional work hours, weekend work, and onsite presence at RE+ events throughout the year. Must be able to lift and carry up to 40 pounds and physically support the setup, movement, and storage of event materials onsite during events. This is a fast-paced environment with periods of high demand and tight timelines, especially in the weeks leading up to and during major events. There is real opportunity to grow with the role as RE+ Events continues to scale. Equal Opportunity & Accommodations RE+ Events is an equal opportunity employer. We are committed to building a team that reflects the breadth of the industry we serve and the communities we work in. To perform this role successfully, an individual must be able to perform each essential duty satisfactorily within the context of the work environment and physical demands described above. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role. Why this role matters The exhibitors and sponsors who show up at our events are partners in something larger than any single conference. They're building the businesses that power the clean energy transition. The Exhibit Services Associate is the person who makes sure those partners feel taken care of, supported, and set up to succeed. It's a role that genuinely matters to the people we serve - and to the industry we exist for.
