JOB DESCRIPTION

Zepf Center has been serving the Lucas County community for over 50 years. We are the leading provider of behavioral health and substance use disorder services in Northwest Ohio. Services include adult and child psychiatric, substance abuse, case management, residential, Crisis Care, and therapy programs, as well as career development and wellness services. Zepf Center also offers primary care medical services to our patients to contribute to their continuum of care. Zepf Center is a trauma-informed agency and environment for both patients and staff.


The purpose of this position is to provide primary accounting functions for all grant monitoring administration, compliance, grant accounting, invoicing and/or draws, and financial reports of awarded grants through their final closing. Duties also include assisting with grant budget creation and submission, ongoing budget monitoring, reporting and communication of grant financial performance and status, and other projects under the direction of the Finance Director.


Hours: Monday - Friday 8:30am - 4:30pm


Essential Duties and Responsibilities:


  • Coordinate efforts with Team members to ensure all required items are completed for accurate and timely billing, invoice preparation and reporting for grants and other awards.
  • Verify expenditures are eligible to be billed to the assigned grants.
  • Analyze payroll reports to verify time on grant is accurate to the budget and will recode any expenditure that is not within the guidelines of the budget.
  • Responsible for making sure all grants are drawn down on a regular basis, consistent with grant periods. Ensuring compliance of grants with policies/procedure and rules/regulations.
  • Assist in monthly closing processes.
  • Work with the Director of Administrative Services, Finance Director, CFO and Controller as needed, with development of grant budgets.
  • Communicate monthly financial results with appropriate staff, informing them of financial position of the grant funding.
  • Coordinate with the Controller to record journal entries to various grants if/when needed.
  • Manage the status of grant funds including amount awarded, expended and remaining balance available to be drawn down by the organization.
  • Assist with the year-end external audit requirements for all related grants. Will also be responsible for any audit of assigned grants. Assist with preparation of SEFA.
  • Provide monthly review and status reports to ensure that monies are being utilized as intended and notifying the grant project manager of any variances that could cause unspent grant funds.
  • Complete and submit quarterly, semi-annual, or annual reporting needed for assigned grants.
  • Perform other duties as assigned to ensure department success

Position Qualifications:

  • Bachelors' degree preferred in Accounting, Finance, or Business Administration, or commensurate experience in the field.
  • 3+ years related experience in a comparable environment with experience in fund accounting, grants/financial reporting, managing projects, and audit preparation in a computerized GL environment.
  • Knowledge of grant funding policies and procedures and applicable local, state, and federal regulations.
  • Working knowledge of Microsoft Office software including Word, Excel, and Access.
  • Strong organizational, problem solving, and verbal/written communication skills.
  • High level of attention to detail with a focus on accuracy.
  • Proven ability to learn and apply new knowledge.
  • SAGE Intacct account software experience preferred.


Those eligible to drive company vehicles must have a valid driver's license and be eligible for coverage as defined by the agency commercial insurance carrier. Those who drive personal vehicles in the course of business must be able to provide proof of insurance.
