The Human Resources office for both campuses is located on the West Campus in Building K, Suite 209.Job Summary Albany State University is seeking a Guest Relations Coordinator to join its dedicated University Police Department team. This highly visible and impactful role is ideal for a professional who thrives in a dynamic environment and is passionate about service, safety, and operational excellence.As the Guest Relations Coordinator, you will be the welcoming face of the university for all campus visitors including guests, contractors, and vendors, ensuring their experience is both secure and seamless. You'll manage visitor access, coordinate administrative functions, and serve as a key liaison across departments to support campus safety initiatives. Standard work hours are Monday through Friday, 8:00 AM to 5:00 PM. Responsibilities Visitor Engagement & Campus Safety:Serve as the primary point of contact for all campus guests, including visitors, contractors, and vendors.Manage the guest check-in process, ensuring full compliance with university safety and security protocols. Issue visitor placards and provide clear instructions for campus navigation and access. Maintain accurate and confidential visitor logs and documentation for reporting and compliance purposes. Administrative & Operational Support:Professionally answer and route incoming calls, addressing inquiries and escalating concerns as needed.Perform data entry and maintain organized records using university systems and Microsoft Office Suite.Prepare reports, presentations, and materials using Excel, Word, and PowerPoint.Operate standard office equipment and assist with the creation of materials for departmental briefings and events.Communicate via radio with police personnel to support real-time coordination and campus operations. Cross Departmental Coordination:Collaborate with internal departments to schedule and accommodate guest visits and appointments.Provide backup support to dispatch operations when necessary, ensuring continuity of communication.Evaluate current visitor management practices and recommend improvements to enhance efficiency and service quality.Other duties as assigned.Required Qualifications Associate's degree from an accredited institution in Public Administration, Criminal Justice, Business, Communications, or a closely related field.Minimum of 1-2 years of demonstrated experience in administrative support, customer service, or visitor management.Ability to multitask and manage time effectively.Proficiency in Microsoft Office and visitor management systems.Strong interpersonal and communication skills.Ability to work independently and handle sensitive information with discretion.Flexibility to work weekends, holidays, and occasional evenings. Preferred Qualifications Familiarity with radio communication and dispatch protocols is preferred.
