DefinitionDefinition: Under general supervision of the Centralized Scheduling Supervisor the Health Info Mgmt. Technician will act as a medical records technician provides quality healthcare in a culturally sensitive competent caring manner to empower our patients and help them attain their highest level of health. This job class is treated as FLSA Non-Exempt.Essential Functions: Essential functions may vary among positions and may include the following tasks and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive list of tasks performed by all positions in this classification.Examples of Tasks1. Contacts/greets and communicates with customers. Responsible for answering telephone calls retrieving and responding to voice mail messages. Directs all information to appropriate individual. Orients patients to the department with directions and instructions.2. Determines validity of all requests for health records/information / PACS images to ensure compliance with state federal and HIPPA guidelines. Monitors/performs activities of release of PHI which includes external correspondence determination of records to be released entering requests into EMR scanning database retrieving/filing of health records from all locations and the reproduction of information (i.e. CD burning x-ray films power point).3. Performs HIM duties scanning in outside records into the patients electronic health record completing quality checks of documents scanned and documenting as appropriate.4. Performs clerical duties such as answering telephones and directing inquiries distributing incoming facsimiles and mail etc. providing prompt and courteous customer service.5. Prepares affidavits and other documents to accompany subpoenas court orders and other legal requests and deliver certified health records to court and/or other legal proceedings when appropriate and under the direction of the Centralized Scheduling Supervisor.6. Assists the physicians in completing their records.7. Provide back-up coverage and support for Schedulers and/or Medical Support Assistants.Knowledge Skills Abilities and Other Characteristics:Knowledge of the history culture laws rules customs and traditions of the Salt River Pima-Maricopa Indian Community.Knowledge of expectations of medical office standards policies and procedures.Knowledge of basic medical office equipment and familiarity with usage.Skill with gathering detailed and pertinent patient information from patients guardians or representativeSkill using a variety of office equipment and a personal computer with proficiency in MS Office and MS OutlookAbility to communicate clearly and effectively both verbally and in writing.Ability to multi-task and work with minimal supervision.Ability to work effectively with a variety of clinically trained service providers.Ability to meet and comply with HIPAA/Confidentiality policies and procedures and ability to handle highly confidential and sensitive patient information.Ability to deal with sensitive issues and maintain appropriate professional and confidential relationships.Ability to lift and carry 15 lbs.Minimum QualificationsEducation and Experience: High school diploma or GED required;For enrolled Community members without a GED must obtain a GED. Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMICEquivalency: Any equivalent combination of education and/or experience that would allow the candidate to satisfactorily perform the duties of this position will be considered.Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19 Underfill.Special RequirementsMay be required to work outside normal work hours including nights weekends and holidays.Employees in and applicants applying for jobs providing direct services to children are subject to the Community Code of Ordinances Chapter 11 Minors Article X.
