Join our dynamic team at Quadrant Health Group in Boca Raton, FL! We are looking for a skilled HR Assistant/Coordinator to provide essential support to our Human Resources department. The ideal candidate will be proficient in ADP Workforce Now and possess a strong understanding of HR best practices. This role will involve a variety of administrative and coordination tasks, contributing to the smooth operation of our HR functions.

We are seeking a highly organized, detail-oriented Human Resources Coordinator to support a fast-paced, multi-site healthcare organization. This role is critical to ensuring employee onboarding, compliance tracking, credential management, and HR operations run efficiently across multiple facilities.

The ideal candidate is proactive, highly responsive, thrives under pressure, communicates with urgency, and can independently manage competing priorities without constant follow-up. This is not an entry-level administrative HR role, we need someone who takes ownership, moves quickly, and maintains exceptional attention to detail in a high-volume environment.

What You'll Do:

Major Tasks, Duties and Responsibilities:

HR Operations & Employee Lifecycle
  • Manage full-cycle onboarding for new hires across multiple facilities and states
  • Coordinate offer letters, background checks, I-9 verification, drug screenings, health clearances, and systems access
  • Facilitate onboarding and ensure timely completion of required trainings and compliance documentation
  • Process employee status changes, transfers, promotions, and terminations accurately and efficiently
  • Administer offboarding procedures including exit documentation, final pay coordination, and COBRA notifications
  • Support benefits administration, open enrollment, FMLA leaves and employee changes
Compliance & Credential Management
  • Monitor employee certifications, licenses, trainings, and required compliance documentation
  • Maintain and track expiration dates within ADP Workforce Now and internal systems
  • Proactively follow up with employees and managers regarding upcoming expirations and missing documentation
  • Conduct regular audits of employee files to ensure compliance with company, state, federal, and accreditation standards
  • Ensure employee records remain organized, accurate, and audit-ready at all times
Communication & Operational Support
  • Communicate proactively and professionally with managers regarding onboarding status, compliance deficiencies, payroll issues, and employee documentation
  • Respond quickly to HR requests and follow through on outstanding items without requiring repeated reminders
  • Partner closely with recruiters, operations leaders, and department managers to support staffing and workforce needs
  • Help improve HR operational processes and maintain consistency across facilities

What You'll Bring:

Skills, Knowledge and Competencies:

Required Qualifications
  • 3+ years of HR operations, HR coordinator, or HR generalist experience in a fast-paced multi-site or multi-state environment
  • Advanced proficiency in ADP Workforce Now (HRIS + payroll functions required)
  • Experience tracking employee certifications, compliance requirements, and credential expirations
  • Experience auditing employee files and maintaining compliance documentation
  • Strong payroll administration experience across multiple states
  • Exceptional organizational skills and attention to detail
  • Ability to prioritize effectively and manage high-volume workflows with tight deadlines
  • Strong sense of urgency and responsiveness
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion with confidential information
  • Proficiency with Microsoft Office Suite, especially Excel and Outlook
Preferred Qualifications
  • Experience in healthcare, behavioral health, or human services
  • Familiarity with Joint Commission, CARF, or behavioral health licensing standards
  • Experience supporting rapid organizational growth or multi-facility expansion
  • Experience supporting clinical, direct-care, or licensed professional populations
