Human Resources Assistant
Department: Human Resources
Pay Grade: U108
FLSA Status: Non-Exempt
General Purpose: Performs skilled human resources and clerical work assisting with the coordination of recruiting efforts for all positions and processing applications and other related work as required. This is sedentary office work performed greater than 95% working in the human resources office, face to face, using a variety of technology platforms. This position may encompass (5% or less) participating in scheduled job fairs as needed. This position may require the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires fingering, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions; Work is performed under regular supervision.
Essential Job Functions
- Prepares and processes human resources records; processes applications for employment; prepares, maintains and submits various personnel related reports and documents;
- Receives applications, checks for completeness and moves applications through the human resources information system for screening and hiring as appropriate;
- Refers out for reference checks; follows up with references and applicants as necessary;
- Monitors and updates all position requisitions for assigned applicant groups;
- Answers applicant questions throughout the selection process;
- Contacts applicants to schedule interviews as needed;
- Assists with fingerprinting of new hires and substitutes as needed;
- Assists in scheduling recruitment activities for human resources administrators;
- Handles confidential personnel data;
- Performs typing and provides other clerical support for professional staff as needed;
- Assists with preparations and implementation of HR department events;
- Performs related tasks as required;
Minimum Qualifications
- High school diploma or its equivalent;
- At least one year of human resources, technology, or clerical/office experience
Knowledge, Skills, and Abilities
- Knowledge of standard office procedures and human resources practices;
- Ability to follow established policies and procedures;
- Ability to type accurately and at a reasonable rate of speed;
- Ability to present ideas effectively;
- Ability to use technology information systems and platforms, manage third party job sites, utilize Google suite products including forms, spreadsheets, and docs;
- Knowledge and ability to utilize and coordinate innovative recruitment strategies such as virtual and face to face job fairs;
- Ability to understand and follow written and oral directions;
- Ability to establish and maintain effective working relationships with general public and associates;
Working Conditions & Physical Requirements
- Work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions.
- This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
- Work requires reaching, fingering, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for operation of machines, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.
