Under the general supervision of the Senior Child Welfare Trainer, the Administrative Assistant will engage in tasks varying from management of registration systems, virtual meeting platforms, scheduling, completing reports, and other tasks as needed. This position provides the opportunity to be a part of a collaborative and supportive work environment focused on improving the safety and well-being of children.Job Related Minimum Required Education and Experience:Typically holds a high school diploma or GED. Requires 1 or more years of job related experience.Preferred Qualifications:Prefer experience in coordination of training programs, event planning, or customer service. Experience in a legal or social services setting would be a plus, as would experience with learning management systems and/or other forms of online trainingKnowledge/Skills/Abilities:This position requires proficiency with Microsoft Office (particularly Excel) in addition to adaptability and familiarity with web-based applications.Must be highly organized and attentive to detail. Must be able to communicate effectively and courteously with staff, trainees, and vendors; these excellent communication skills must be reproducible over email, in-person, on virtual communication applications (particularly Microsoft Teams), and on the phone. Must be able to perform basic mathematical computations. Must demonstrate the ability to work well with others in an office environment.Job Duty:Provides administrative support to arrange training sessions, including responding to external requests for mandated reporter trainings, entering training information into CLC’s training registration system, reservation of facility, preparation and dissemination of training announcements, processing registrations, formatting and reproduction of written materials, making travel arrangements for staff or speakers as needed, and all related details to ensure that the training runs smoothly.Essential Function:YesPercentage of Time:30Job Duty:Completes administrative tasks following training sessions for the mandated reporter trainings, CIP trainings, simulation trainings and following meetings of the Joint Citizens and Legislative Committee on Children and the Citizen Review Panels. This includes timely processing of payments and travel vouchers, compilation of evaluations, maintenance of training files, updating the CLC’s training registration system, and assistance with preparation of reports.Essential Function:YesPercentage of Time:25Job Duty:For online and virtual training, creates on-line platform link, provides technical support to both trainers and trainees before and throughout the training. Technical support includes, but is not limited to: ensuring guest trainers know how to use the virtual platform in advance of training; helping participants resolve issues with the virtual platform, microphone, and camera; monitoring the chat box for the training; and alerting the trainer to technical issues as needed.Essential Function:YesPercentage of Time:15Job Duty:Provides on-site support for selected training programs in Columbia and throughout the state as needed.
