Position OverviewJLL is seeking an experienced Lease Administrator to join our dedicated team managing leases for one of our largest enterprise clients. This role is crucial in maintaining and optimizing the lease management system ensuring accurate data handling and facilitating smooth vendor relationships. The ideal candidate will be adept at managing complex lease information responding to inquiries and tracking critical deadlines while delivering exceptional client service that supports our commitment to operational excellence.This is a remote position (Seattle and/or West Coast preferred but not required). Key ResponsibilitiesLease Data Management and AdministrationAbstract analyze and input critical lease data into sophisticated lease management systems with exceptional accuracyMaintain comprehensive lease databases ensuring data integrity and accessibility across multiple platformsMonitor lease portfolios for compliance with terms conditions and regulatory requirementsCreate and maintain detailed documentation for all lease administration processes and proceduresFinancial Management and ComplianceConduct thorough monthly reviews audits and processing of lease payment obligationsOversee purchase order processing and payment requests ensuring appropriate approvals and documentationReconcile rent payments and investigate discrepancies with systematic precisionSupport budget planning and forecasting activities related to leasing portfoliosEnsure compliance with lease accounting standards and financial reporting requirementsVendor and Stakeholder RelationsLead comprehensive onboarding processes for landlords and vendors including documentation management and ticketing system entryServe as primary point of contact for internal and external stakeholders regarding lease-related mattersAddress and resolve complex inquiries related to rent payments vendor onboarding and lease obligationsBuild strong professional relationships that support long-term business objectivesFacilitate communication between legal transaction managers and vendorsTechnology Implementation and Process OptimizationAssist in implementing new lease administration software and system upgradesParticipate in system testing user acceptance testing and training developmentIdentify opportunities for process improvement and automation to create efficienciesSupport data migration activities and system integration projectsContribute to the development of best practices and standard operating proceduresCritical Date Management and ReportingMonitor and act on critical dates for lease renewals terminations and option exercisesMaintain comprehensive tracking systems for leasing milestones and deadlinesGenerate regular reports on lease portfolio performance expiration schedules and financial metricsProvide analytical support for lease renewal negotiations and strategic planning initiativesPerform administrative tasks and contribute to special projects as assignedRequired QualificationsExperience and EducationMinimum 3-5 years of progressive experience in lease administration accounting vendor management or contract administrationProven track record of success in managing complex lease portfolios in fast-paced environmentsTechnical SkillsAdvanced proficiency in Microsoft Office Suite (Excel Word PowerPoint Outlook)Experience with lease management systems and databasesWorking knowledge of Smartsheet or similar project management platformsStrong data analysis and reporting capabilitiesExperience with lease administration softwareCore CompetenciesStrong understanding of lease accounting principles and commercial real estate terminologyExceptional attention to detail with demonstrated accuracy in high-volume leasing data environmentsExcellent written and verbal communication skills with ability to interact professionally with diverse stakeholdersSuperior organizational and time management skills with proven ability to multitaskAnalytical problem-solving skills with ability to work independentlyCustomer service orientation with professional demeanor and client-focused approachPreferred QualificationsExperience in commercial real estate or professional services environmentKnowledge of GAAP lease accounting standards (ASC 842) and compliance requirementsPrevious experience with enterprise-level client account managementFamiliarity with real estate law and lease negotiation principlesProfessional certifications in real estate or lease administration (RPA CPM or similar)Experience with property management software and financial reporting systemsBachelors degree in business administration finance or related field preferredFamiliarity with Tango software and Zendesk preferredEstimated compensation for this position:90000..00 USD per yearThis range is an estimate and actual compensation may differ.
