We are seeking a dynamic and experienced Litigation Legal Administrative Assistant to join our fast-paced legal team. The ideal candidate will be a self-starter with exceptional multitasking abilities, a keen eye for detail, and a strong background in litigation. This position will play a critical role in supporting our legal team by handling a variety of administrative and clerical tasks, including efiling, calendar management, and other related duties.

Responsibilities:

  • Provide comprehensive administrative support to our legal team, ensuring the smooth operation of our litigation team.
  • Manage and organize all efiling processes, ensuring all legal documents are accurately filed and easily accessible.
  • Oversee calendar management for the legal team, scheduling and coordinating meetings, court dates, and deadlines, ensuring no scheduling conflicts and that all appointments are met.
  • Assist in the preparation of legal documents and reports, including drafting, formatting, and proofreading.
  • Communicate effectively with clients, attorneys, and court officials, maintaining professionalism and confidentiality at all times.
  • Conduct legal research as necessary, providing accurate and timely information to support case preparation.
  • Maintain an organized and up-to-date filing system, ensuring all confidential information is secure and easily accessible for the legal team.
  • Provide additional administrative support as needed, including answering phones, managing correspondence, and coordinating travel arrangements.

Qualifications:

  • A minimum of 2 years of experience as a Legal Administrative Assistant supporting commercial or business litigation.
  • Proficiency in efiling systems and calendar management software.
  • Exceptional organizational skills and the ability to manage multiple tasks and deadlines simultaneously.
  • Strong attention to detail and the ability to work effectively in a fast-paced, high-pressure environment.
  • Excellent written and verbal communication skills, with the ability to liaise effectively with clients, attorneys, and court officials.
  • Advanced knowledge of legal terminology, court procedures, and legal document formatting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and legal research software.
  • A degree in law, paralegal studies, or a related field is preferred.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills and the ability to work independently and as part of a team.
  • A proactive approach to work, with the ability to anticipate the needs of the legal team and take initiative where appropriate.
