Job DescriptionJob DescriptionDescription:Job Title: Nutrition Program AssistantReports To: Director of Nutrition and Community Programs (Interim) Nutrition Operations Manager (Once Hired)Department: Nutrition, Home and Community Based Services (HCBS)FLSA Status: Exempt or X Non ExemptUnion or X Non-UnionPosition Summary:The Nutrition Office Administrator supports daily operations of the Nutrition Program in accordance with federal and state guidelines for the cities of Somerville and Cambridge. This position provides administrative support by serving as the primary point of contact for consumer inquiries, maintaining accurate client and service plan information, and providing administrative support to Home Delivered Meals (HDM) and Congregate MealServices. This role ensures timely communication, accurate data entry, and effective program workflows. This position provides administrative support for the SCES Nutrition Department between 8:30 am - 4:30 pmMonday - Friday. Later hours may be requested on occasion for office coverage. The ability speak English andSpanish is strongly preferred.Job Responsibilities and Performance Standards:Consumer Support & CommunicationsServe as the primary phone contact for incoming consumer calls; respond to inquiries and coordinate follow-up.Monitor the Nutrition inbox and daily staff communications regarding meal changes; enter suspensions and updates into the client database.Data Management & Documentation:Maintain and update consumer service plans as directed.Complete data entry for Congregate Meal attendance and ensure accuracy of records.Use the client database daily to verify and update meal delivery information by processing incoming activities and referral requests from Case Managers.Log meal-related issues and report concerns regarding counts, temperatures, or quality to the HDM Supervisor.Program & Operational Support:Provide general administrative support to Nutrition Program operations and back-up support to the HDM Supervisor.Assist with Base Phone coverage alongside the HDM Team Lead to support drivers on delivery routes. Assist with meal ordering, route sheet preparation, and related documentation.Support the Dietitian with updating, printing, sorting, and preparing monthly newsletters and menus for distribution to consumers.Order and maintain inventory of paper goods, supplemental foods (e.g., Ensure), and other program supplies.Assist with coverage for meal deliveries or other duties as assigned.Professional Standards and Conduct:Collaborative and Responsive: Regularly communicate, follow up, and use a team-driven approach. Analytical: Critical thinking skills, using logic and reasoning to identify the strengths and opportunities of alternative solutions, conclusions, or approaches to problems. Attendance and Punctuality: Dependable, punctual, showing flexibility when needed. Attends meetings as needed and is fully present and participates during those meetings. Aids in furthering SCES’s mission and commitment to an inclusive environment.Qualifications:High School diploma with three years of office or customer service experience preferred.Demonstrated ability to handle multiple tasks, prioritize workload.Ability to speak Spanish is strongly preferred.Ability to work independently and collaboratively with diverse populations.Exceptional time management and organizational proficiency.Must meet both CORI/SORI and public health screening requirements.Computer proficiency and experience with Microsoft Office Suite (Excel, PowerPoint, Word). Physical Environment:Physical surroundings are comfortable with minimal exposure to injury or hazards.Social/Psychological Conditions:Occasional stress due to periodic or cyclical workload pressures and deadlines. Some interruptions involved.Physical Effort:Frequently sits, stands, walks, bends, reaches, and stoops throughout the day.Frequently lifts, pulls, pushes, and carries up to 50 lbs.Periodic eye strain and light ear strain.
