Office Coordinator at Best Point Education & Behavioral Health
JOB DESCRIPTION
Office Coordinator
The Office Coordinator serves as the first point of contact for clients at Best Point Education & Behavioral Health. This role is responsible for collecting and managing all required client documentation to support quality care delivery and accurate reimbursement. The Office Coordinator also provides administrative and operational support for assigned sites while delivering compassionate, client-centered service.
Minimum Qualifications
- Knowledge of customer care principles and best practices
- Strong organizational, planning, and follow-up skills
- Minimum of 3 years' experience in a healthcare setting (preferred)
- Proven excellence in customer service
- Excellent written and verbal communication skills
Key Responsibilities
Client Intake & Administrative Support
- Successfully open new client records, ensuring all administrative, financial, and insurance requirements are met
- Open and maintain accurate client records in GOSH and the EHR
- Forward opening paperwork to the Technical Lead for Private Insurance and Medicare Part C clients
- Enter and update client payer information, insurance details, and financial documentation
- Complete all redetermination paperwork and updates in the EHR
- Obtain intake appointments and collaborate with therapists as needed
- Scan and upload required documentation into the EHR
- Notify appropriate staff of changes in client demographics, insurance, or contact information
Front Desk & Scheduling
- Answer phone lines and resolve inquiries using a client-centered approach, minimizing call transfers
- Schedule client appointments for all services within the EHR
- Review daily schedules to identify and collect required co-payments
- Take co-payments and maintain accurate cash-sheet records in the EHR
- Check clients in for office-based appointments
Site & Operational Support
- Maintain a clean, organized lobby and request maintenance services as needed
- Travel to other locations as required
- Serve as backup support to the Medical Assistant by obtaining vitals for Med-Som clients
- Complete tasks assigned by the Office Manager or other management staff
- Adhere to all agency policies and procedures
- Perform other duties as assigned
