DescriptionThe Office Coordinator serves as the primary administrative support for the CECS Deans Office ensuring smooth daily operations and exceptional customer service. This position manages front-office functions coordinates communications and assists with scheduling travel and event logistics. The role requires strong organizational skills attention to detail and the ability to work collaboratively in a fast-paced academic environment.ResponsibilitiesFront Office & Customer ServiceServe as the first point of contact for the Deans Office: greet visitors answer phones and respond to email inquiries.Manage CECS and CECS Graduate email accounts ensuring timely and accurate responses.Handle confidential and time-sensitive materials with discretion.Administrative CoordinationMaintain calendars schedule meetings and prepare materials.Record and distribute meeting minutes.Coordinate and process travel arrangements itineraries and expense reports.Prepare and process contracts in the ESM system.Financial & Operational SupportAssist with purchasing reimbursements and invoice processing in DASH.Maintain office supply inventory and manage event orders and catering.Track and compile data; prepare reports as requested.Scholarship & Event SupportOversee CECS scholarship processes including tracking applications and coordinating committee communications.Assist with special events banquets and candidate visits including logistics and setup.Knowledge Skills and Abilities:Strong computer skills (MS Office Suite and university systems).Excellent customer service and communication skills.Ability to organize prioritize and manage multiple tasks.Problem-solving skills and attention to detail.Ability to work effectively with various groups and maintain confidentiality.Review of applications will begin on December 18 2025 and will continue until the position is filled.
