SummaryThis position provides administrative support to Wise Oak Financial - Doug Horne. This role is critical to our member experience and requires a friendly upbeat demeanor. The incumbent supports the daily operations of the practice including but not limited to: answering the phones meeting/greeting members handling/distributing postal mail and practice email ordering supplies utilizing Thrivent Financial computer systems and programs in support of client relations and other administrative tasks as assigned. The Administrative Assistant reports to and is employed by Wise Oak Financial - Doug Horne.This position has an immediate licensing growth track in the first 3 months; all training provided. Pay increases offered as licensure is attained.This part-time role is fully in office out of Lansing IL. Hours: 4 days a week 4 to 6 hours a day but will grow into a full time/licensed position. Compensation is $19-22/hr. depending on experience. No benefits provided at this time.Job DescriptionPosition Roles/Responsibilities/AccountabilitiesHandles incoming telephone calls to and responds to requests for informationPerforms routine administrative duties such as maintaining office supplies and processing mailPrepares or coordinates the preparation of routine correspondence reports and special projects typically of a routine natureSupports projects administration of various programs and processing functions as neededDrive client/member facing activity in the practice by scheduling meetings with client/members on behalf of the practices Financial AdvisorsUpdate the contact management system with client/member contact and preference informationAssist Financial Advisors in the preparation and follow up for the client/member meetingsTracks practice expenses and oversees the practice bill payingProvides back-up support on tasks that do not require any type of licensing or registration for other staff members as neededParticipates in the business planning processCompletes other miscellaneous tasks as assignedPosition QualificationsPrevious administrative/secretarial experience desiredStrong technical computer aptitude and knowledge of business tools (e.g. Microsoft Word Excel PowerPoint) or ability to learnAbility to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptionsAbility to maintain integrity of sensitive/confidential informationBasic understanding of our products and services and Thrivent FinancialCompetenciesPlanning/OrganizingCustomer FocusCommunicationInterpersonal SkillsTeamwork and CollaborationAdaptability/FlexibilityExternal/Internal DependenciesMust be able to work with all roles of the teamMust be able to represent the organization in work with external clientsMust be able to cultivate and maintain relationships with outside organizationsAs part of Wise Oak Financial - Doug Hornes recruiting/hiring/contracting process a verification of a candidates background will be made to complete the hiring/contracting addition fingerprints will be taken for submission to the Federal Bureau of Investigation for review against nationwide fingerprint records.All persons with access to Wealthscape are deemed Access Persons and are subject to Compliance with the firms Code of Ethics which requires all outside brokerage accounts to be maintained at one of the firms designated by TIMI.Required Experience:Unclear Seniority Key Skills Graphic,Apache Tomcat,ABAP,Application Development,Fiber,Application Engineering Employment Type : Part-Time Experience: years Vacancy: 1 Monthly Salary Salary: 19 - 22
