Program Coordinator

Program Coordinator supports M programs by managing logistics, coordinating resources and vendors, and ensuring smooth, high-quality execution of learning events and projects.

POSITION LOCATION New York City (midtown) or Evanston, IL

We run a broad range of training programs for educators and educational consulting services for organizations. The educators and clients we support are primarily in North America, though M has a growing presence in Israel and Europe. POSITION OVERVIEW The Program Coordinator plays a vital role in bringing M's learning experiences to life. Reporting to the Senior Program Director, this position serves as the operational backbone of our programs and special projects ensuring that every gathering, webinar, training, project, and resource is executed with precision, care, and excellence. From managing logistics and materials to coordinating vendors and supporting participants, the Program Coordinator ensures that our educators experience seamless, high-quality learning environments. This role is ideal for someone who takes genuine pride in organization, follow-through, and attention to detail. If you derive satisfaction from checklists completed, materials beautifully prepared, systems running smoothly, and events executed flawlessly, this role will be deeply fulfilling.

KEY RESPONSIBILITIES Program and Project Coordination and Logistics (40%) Partner with program team members to ensure immersive, well-executed learning experiences: Plan and coordinate all program logistics with exceptional attention to detail. Serve as primary liaison to staff and faculty regarding program sessions and materials. Research and evaluate venues and vendors aligned with M's standards and programmatic needs. Once contracted, serve as primary liaison to vendors to ensure flawless execution across catering, A/V, travel, materials, and accommodations. Prepare program supplies and learning materials thoughtfully and aesthetically. Provide on-site logistical and technical support for in-person gatherings and virtual programs. Troubleshoot calmly and effectively in real time, ensuring participants experience programs as seamless and welcoming.

Operational Support (40%) Serve as the operational engine supporting program delivery: Act as internal point contact for core platforms (e.g.,Salesforce, Campaign Monitor, Form Assembly) Serve as tech lead for North American Zoom webinars and virtual gatherings. Own the full lifecycle of program materials sourcing, tracking, preparing, packaging, and shipping ensuring every detail reflects M's high standards and aesthetic. Manage production and distribution of M-created resources. Track and maintain inventory of program and organizational supplies and materials; manage organizational storage and ensure materials are accessible and organized. Coordinate closely with faculty and team members to anticipate and meet all programmatic material needs.

Office Administration (10%) Contribute to a well-functioning and positive team culture: Coordinate internal staff experiences (birthdays, team lunches, outings). Manage tracking and coding of organizational accounts (Uber Business, Amazon, supply ordering, travel platforms). Lead technological onboarding for new hires. Serve as North American support liaison for the M Board Chair. Provide light administrative support as needed.

General M Support (10%) Travel to support in-person programs (15 days per program; up to approximately 20 days annually), in addition to semi-annual staff retreats. Support members of the Program Team as needed. Contribute to M's collaborative, values-driven culture. Take on additional responsibilities aligned with organizational needs and growth.

SKILLS AND QUALIFICATIONS Minimum of 2 years of experience in event coordination, project management, customer-facing operations, or similar roles (experience in a nonprofit or mission-driven organization strongly preferred). Exceptional organizational and project management skills with the ability to manage multiple projects simultaneously and accurately. Proven ability to organize systems and track details. Strong written and verbal communication skills; professional and welcoming client-facing demeanor. Comfort navigating fast-paced and evolving environments with flexibility, calmness and sound judgment. Self-directed and action-oriented, with the ability to work independently and collaboratively. High comfort level with technology; experience with Salesforce, Monday.com, Campaign Monitor, Canva, or similar platforms preferred. Willingness and ability to travel as required.
