Job Details
ON-SITE POSITION
The Personal Assistant provides high-level administrative and operational support to the President of a property management company. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The assistant acts as a gatekeeper, coordinator, and trusted partner in both business and occasional personal matters.
Key Responsibilities
Executive Support
Manage the President's calendar, including scheduling meetings, appointments, and travel
Prepare agendas, reports, presentations, and correspondence
Screen calls, emails, and visitors; prioritize communications
Track deadlines, follow-ups, and action items
Property Management Coordination
Liaise with property managers, vendors, tenants, and internal staff
Assist in coordinating property inspections, maintenance schedules, and project timelines
Organize and maintain property records, leases, and contracts
Monitor and track key property performance metrics and reports
Administrative Duties
Handle confidential documents with discretion
Maintain filing systems (digital and physical)
Process invoices, expense reports, and basic bookkeeping tasks
Assist with office operations and special projects
Communication & Relationship Management
Serve as a point of contact between the President and property owners
Draft professional emails, memos, and announcements
Build and maintain relationships with clients, vendors, and partners
Personal Support (as needed)
Coordinate personal appointments, reservations, and errands
Assist with event planning (business and occasional personal events)
Qualifications
Proven experience as an Executive or Personal Assistant, preferably in property management or real estate
Strong knowledge of property management processes is a plus
Excellent organizational, multitasking, and time-management skills
High level of professionalism and confidentiality
Strong written and verbal communication skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and property management software
Ability to work independently and anticipate needs
Preferred Skills
Experience with property management platforms (e.g., AppFolio, Yardi)
Basic understanding of leases, contracts, and real estate terminology
Project coordination experience
Work Environment
Fast-paced, deadline-driven environment
May require occasional after-hours availability
Combination of office-based and occasional on-site property visits
Compensation
Competitive salary based on experience
Benefits may include health insurance, PTO, and 401k-match 100% up to 4%
