The State of Georgia Records Center is located in Austell.Location Georgia Public Library Service2872 Woodcock Blvd, Suite 250Atlanta, GA 30341Department Information The Georgia Public Library Service (GPLS) Georgia Public Library Service, a state agency and unit of the Board of Regents of the University System of Georgia, provides leadership, technology solutions, training, and grant administration to libraries statewide. GPLS advances equitable access to information, promotes lifelong learning, and fosters collaboration to enhance library services and strengthen communities throughout Georgia . Job Summary Supporting the mission of the Georgia Public Library Service, under limited supervision, the PINES Acquisitions Specialist will work as the first point of contact for PINES libraries' acquisitions support needs as well as providing expert level assistance for these issues. The PINES acquisitions module assists library staff in managing the entire lifecycle of purchasing new items. This includes creating purchase orders, receiving items from vendors, processing invoices, and on order holds for patrons. Currently 30% of all PINES libraries use acquisitions, representing 123 individual branches and 16 library systems, with a potential for the remaining 35 systems (235 branches) to implement in the future. In addition to expert-level ongoing user support, this position is also the primary project lead for new acquisitions implementations and rollouts. This includes developing and delivering all training materials, creating documentation, coordinating with external vendors, and representing PINES' development needs within the broader Evergreen open-source community.Responsibilities Serves as the primary project coordinator for new implementations of the PINES acquisitions moduleDetermines unique needs and workflows of each library systemManages rollout project scheduleCoordinates the setup of technical requirements with external vendors, including initial EDI configurationsConfigures required system settings and profiles, including fund structures, provider records, and user permissions Provides ongoing, expert level support and system maintenance for all acquisitions usersManages and coordinates fiscal year end rollover processes for all participating systemsTroubleshoots problems in response to user requests, providing remediation or user educationManages the setup and troubleshooting of new and existing vendor EDI connectionsPerforms routine module maintenance and data cleanup Develops and conducts all member training related to the PINES acquisitions module Creates and updates all technical and user documentation related to acquisitions Serves as the GPLS expert on the PINES acquisitions module, representing the project and coordinating software development needs within the state and the worldwide Evergreen communityActively participates in Evergreen community interest groups, bug squashing events, and the annual conferenceServes on and provides expert guidance to PINES subcommitteesRepresents PINES at Executive Committee meetings and other statewide library meetingsReports, test and tracks software bugs and feature development related to acquisitions Serves on committees, special task forces, or other designated groups to support PINES initiatives and projects Attends seminars, conferences, job-related training and other staff development training programs Other duties as assignedRequired Qualifications Master's degree required Over five years of related experience requiredPreferred Qualifications Master's degree in Library and Information Science (M.L.S. or M.L.I.S.)5 or more years of significant library experience with a focus on cataloging and/or acquisitionsState of Georgia Certification for Librarians within 6 months of hireExperience with Evergreen ILSExperience with PINES policies and proceduresExperience in the development and implementation of staff trainingKnowledge, Skills, & Abilities Ability to work in a team environmentKnowledge and experience of library acquisitions processes and proceduresKnowledge of library cataloging processes and proceduresSolid proficiency with spreadsheet programs such as Excel or Google SheetsClose attention to detailDemonstrated experience in troubleshooting problemsAbility to demonstrate initiative and quickly learn new processes and proceduresEffective communication skills, in person, by phone and email, and via remote platformsUSG Core Values The University System of Georgia is comprised of our 26 institutions of higher education and learning as well as the System Office.
