University Financial Services is committed to maintaining a work environment that encourages knowledge of respect for and development of skills to effectively engage with individuals from all communities.Position SummaryThe Procurement Agent performs professional duties related to the compliant and accurate procurement of all goods and services for the University. Focus is on value added purchases for the University as well as high quality service provided to internal customers.Essential FunctionsAct as a liaison to internal customers in matters pertaining to completeness and accuracy of purchase requisitions and purchase orders. Ensures purchase documents match contractually language negotiated by the University.Assist internal departments with resolution of PO/Invoice discrepanciesReview bids and contracts for proper specifications and appropriate terms and conditionsExplain and clarify purchasing guidelines and procedures offer training opportunities when necessaryDetermine the appropriateness of emergency and sole-source purchases to ensure compliance with university guidelines/policiesReview payment transactions for accuracy and complianceMeet with supplier representatives to keep informed of products and trends and develop excellent supplier relationshipsUnderstand interaction of P2P punchout catalogs with all requisition and purchase order policiesManage correspondence relating to specific purchases with vendor representativesUpdate supplier contact information for accurate purchase order deliveryAnswer inquiries from units and outside vendors regarding purchase order and requisitionsProcess change orders in a timely compliant and accurate mannerExercise expertise on procure to pay system in order to support necessary job duties and accurately answer questions posed by University communityOther FunctionsOther duties as position description is not intended to be an all-inclusive list of duties responsibilities or qualifications associated with the position.Knowledge Skills and AbilitiesUnderstanding of procurement workflow and practicesKnowledge of university policiesUnderstanding and knowledge of business processes and systemsUnderstanding and appreciation for automation and the use of technology as an enabler of high-quality services and performance levelsAbility to participate in process re-engineering to develop best practices to enhance new software systemsDemonstrated focus on customer service and complianceExcellent written and verbal communication skillsAbility to work independently with minimal supervisionKnowledge of higher education culture governance structures and missionDemonstrated focus on customer service and complianceAbility to resolve issues and bring new ideas and initiatives that improve the performance of the organizationExperience managing multiple priorities in a fast-paced deadline driven environmentStrong attention to details including ability to explain details to non-expertsDemonstrated strong organizational and time management skillsRequired QualificationsHigh school diploma or equivalent1 to 2 years of professional experience in a procurement rolePreferred QualificationsBachelors degree2-4 years of direct experience in a purchasing roleExperience in higher education working environmentProfessional procurement certification such as CPSM or CPPBExperience with Banner FinanceWorking knowledge of Jaggaer P2P platformPreferred Qualifications2-4 years of direct experience in a purchasing or payments roleExperience in higher education working environmentExperience with Banner FinanceWorking EnvironmentTeam orientedCollaborativeEngaged professional supportiveChallenge the status quo to seek highest levels of performance and service qualityPhysical ActivitiesAbility to sit in front of a computer for an extended period of time.Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.Employees are held accountable for all functions of this position.Work ScheduleMonday-Friday 8:00am - 4:30pmIn accordance with the Universitys flexible work policy this position is eligible to be considered for partial remote work.
