Job Title: Program Associate, Gift Processing & Donor Recognition Location: Tallahassee, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 61613 Department College of LawResponsibilities This position provides direct support to the Executive Director of Alumni Outreach and Engagement and the Development Officer at the College of Law. The role is responsible for managing the gift recording and donor recognition process, maintaining records on gift agreements, and serving as the primary liaison between the College of Law Office of Development & Alumni Affairs, the law school’s Fiscal Office, and the FSU Foundation. Responsibilities include, but are not limited to:Gift ProcessingManage all aspects of gift processing, including cash, check, and credit card contributions.Prepare deposits and accurately record all monetary gifts in Blackbaud Raiser's Edge database. This includes gifts listed on FSU Foundation gift reports such as payroll deductions, recurring credit card payments, electronic transfers, major gifts, and funds sent directly to the Foundation.Ensure all gift processing complies with the law school’s Fiscal Office and FSU Foundation requirements.Donor Recognition ProcessPrepare and send acknowledgment letters to donors.Maintain spreadsheets for all gifts over $250, ensuring complete donor information for the Executive Director of Alumni Outreach and Engagement.Send email notifications of major gifts and Book Award pledge payments/fulfillments to the Dean, Executive Director, and Development Officer.Coordinate the content and production of the fiscal year-end Annual Report.Serve as LiaisonAct as the primary point of contact for all College of Law gift-related inquiries.Serve as the main liaison between the Office of Development & Alumni Affairs, the law school’s Fiscal Office, and the FSU Foundation.Reconcile gift information across departments, ensuring accuracy of transactions and monitoring for discrepancies.Prepare and track payment and disbursement requests to the Fiscal Office and FSU Foundation.Pledges and RecordsMonitor pledge payment activities to ensure timely and accurate processing.Generate and distribute electronic and hard copy pledge reminders for annual funds, Book Awards, Fundathon, event sponsorships, and special gifts.Maintain detailed subsidiary records and reports to support the Office of Development & Alumni Affairs.Create and manage all office financial and giving reports and maintain an organized system for gift agreements.Set up and maintain files for new contracts, Book Awards, endowed chairs, professorships, and scholarships.Integrated Fundraising Platform and Database MaintenanceManage the integrated fundraising software, including creating and updating campaigns such as Fundathon and other solicitations.Provide training and support for platform users and generate 'constituent and giving' data reports and metrics.Assist with database maintenance by updating records with new gift, contact, demographic, and relationship information.Special Programs and InventoryAssist with Law Legacy Brick and Book Award programs, including creating and distributing promotional materials and regularly updating program content.Serve as a resource for questions regarding program giving requirements and benefits and coordinate logistics for brick installations.Manage inventory of stewardship merchandise, monitor stock levels, and place orders as needed.Assist with the design and selection of merchandise and coordinate with eFollett and the university bookstore on retail law school merchandise.Perform additional responsibilities as assigned by the Dean, Executive Director of Alumni Outreach and Engagement, and Development Officer.Qualifications High school diploma or equivalent and four years of experience.
