Job no: 497938Work type: Full TimeLocation: Jacksonville, AL (Main Campus)Categories: StaffDepartment:Center for Leadership and American PrinciplesSalary: $45,000.00 annuallyNormal Work Schedule:8:00 a.m. - 4:30 p.m., Monday – Friday with some evenings or weekends for special eventsJob Summary:Under the supervision of the Director of the Center for Leadership and American Principles (the Center), the Program Specialist serves as the administrative anchor for the Center’s operations. This role requires initiative, attention to detail, and the ability to anticipate administrative needs in a fast-paced environment. The specialist supports the Center’s expanding programs by managing operational workflows, coordinating events, assisting with communications, and maintaining relationships with internal and external partners. This position is funded through September 30, 2028, with potential extension based on funding availability.This role is ideal for candidates with prior administrative experience at a university, or highly motivated individuals who can quickly learn institutional systems and processes to contribute effectively with minimal supervision.Duties and Responsibilities:Administrative OperationsProvide confidential administrative support and serve as the administrative representative of the CenterManage calendars, meetings, conference calls, and correspondenceMaintain electronic and paper records, filing systems, and reportsProcess payments, create requisitions, receive purchase orders, and maintain budget recordsMaintain office inventory and equipmentEvent and Program SupportAssist with planning and logistics for Center events, including room reservations, vendor coordination, and university approvalsPrepare materials, supplies, and food for events; some may occur evenings or weekendsSubmit and track Facilities requests as neededAssist with social media, marketing materials, registration forms, Zoom webinars, and posting routine updatesCustomer Service and OutreachServe as a liaison for students, faculty, staff, K–12 educators, and other stakeholdersSupport outreach to school districts, civic organizations, and other Center partnersTrain, schedule, and supervise student employees as neededOther DutiesPrepare and submit staff and student payrolls, as neededRefine workflows and carry assignments to completion with minimal supervisionPerform other duties as assignedRequired Minimum Qualifications:High School diploma or equivalent.Preferred Qualifications: Prior administrative experience in a higher education environment, preferably at Jacksonville State University.Familiarity with internal Jacksonville State University units, workflows, and policies for purchasing, travel, and academic supportInitiative, self-motivation, and ability to carry projects from concept to completion with minimal supervisionFamiliarity with American political thought, civic education, and/or professional learning for K–12 educatorsExperience with Microsoft Excel for data entry and basic analysisExperience processing payments, requisitions, purchase orders, and maintaining budgetsFamiliarity with Banner and/or Chrome River systemsFour (4) years equivalent experience in clerical or administrative supportRequired Documents:Cover LetterResumeEmployee Benefits:JSU strives to provide a great quality of life to our employees through an attractive, competitive benefits package for our full-time faculty and staff.
