We have a culture of growth and achievement powered by innovation supported by purpose and joy.Big-D has an opportunity for a Project Administrator to join our team of construction professionals in Idaho Falls ID.Experience/Training:A High School Diploma or GED is requiredBusiness school Associates degree or equivalent is a plus3-4 years of construction experience requiredCritical Skills:Proficient computer skills including typing Microsoft Office Suite Procore BluebeamProficient in Outlook organizing meetings assigning tasks working with distribution listsClear written and verbal communicationOrganize and write procedures in a logical/methodical mannerAbility to multitask and work on multiple projects simultaneously including managing priorities of multiple managersConsistently produces accurate work and has excellent attention to detailWork well in a team environmentAR/AP skills managing the release of payments to subs/vendors assisting in creating of monthly bills to the owner tracking cost and other accounting duties as neededProficient in document control and has the ability to assist in processing RFIs and submittalsAble to be resourceful and take initiativeMaintains a friendly and courteous attitude even under stressful situationsDuties Responsibilities and Expectations: (other duties may be assigned to meet business needs)Contract administration working with estimating and project management in creating and issuing contract and purchase orders for the projectManages risk by proactively gathering and tracking insurance and licensing requirements for subcontractors and vendorsFile necessary preliminary lien and commencement notices for their projects. Review and verify lien releases for all vendorsProcess project close out documents (O&M manuals etc.)Update project reportsMaintain efficient neat and organized filing systems for all projects in a timely fashionLetter writing copying scanning ordering supplies properly and accurately distribute project documentation to teamAssisting project team/department in completing expense/mileage reports and timecardsHelp to ensure that project contracts bids and governmental development applications are completed and filed on timeAR/AP track manage and process purchase orders and invoicesAble to use cost codes and links contracts PCOs OCOs and SCOsOrganizes and prepares documents and reports for PM utilizing and maximizing Procore as a documentation sourceInteracts with clients vendors and staff in a professional courteous and appropriate mannerParticipating in meetings taking and publishing minutesHard paper and electronic filing systems for groupCommitted to supporting Big-Ds policies and proceduresProvide various administrative support to a project teamPhysical Requirements: The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential responsibilities of this job.
