We are seeking a Project Coordinator whose primary role is to support the Estimator and Project Managers in coordinating projects from start to finish. This is a high-impact position where your support directly contributes to project accuracy, client satisfaction, and operational efficiency. What You’ll Do Primary Role: Assist the Estimator and Project Managers Support the Estimator by helping gather information, organize takeoffs, prepare documentation, and track proposal status. Assist Project Managers with scheduling, communication, follow-ups, and tracking milestones. Coordinate project details between clients, field teams, and vendors to ensure smooth workflow. Maintain job files, proposals, contracts, and CRM updates in HubSpot. Help manage materials, delivery timelines, and order confirmations as instructed by the PMs/Estimator. Monitor deadlines, follow up on outstanding items, and keep teams updated on progress. Anticipate potential issues and escalate them to the PM or Estimator for resolution. Provide administrative and operational support to ensure projects run efficiently. What We’re Looking For Required Qualifications 2+ years of experience in project coordination, construction, installations, or related operations. Construction experience strongly preferred (ability to understand plans, scopes, materials). Strong organizational skills with the ability to manage multiple priorities/projects. Tech-savvy: experience with HubSpot, Asana, Buildertrend, Microsoft Office, or similar tools. Strong communication skills for interfacing with clients, vendors, and internal teams. High attention to detail and strong follow-through. Preferred (Not Required) QuickBooks: 1 years (Preferred). Spanish bilingual (Preferred). Experience assisting estimators or project managers. Familiarity with material supply, installation coordination, or construction scheduling.
