Purchasing Coordinator

We're currently hiring for a Purchasing Coordinator on behalf of one of our clients in World Golf Village, FL!

The Purchasing Coordinator plays a key role in supporting procurement activities by verifying purchase requests, sourcing competitive suppliers, managing fuel programs, and ensuring accurate and timely processing of purchase orders and invoices. This position supports multiple departments, maintains inventory of indirect items, and helps optimize purchasing processes to meet operational and financial objectives in a collaborative, growth-oriented environment.

Responsibilities

  • Verify the nomenclature and specifications of purchase requests to ensure accuracy and completeness before processing.
  • Source and evaluate suppliers and vendors to support competitive procurement, cost improvement efforts, and more efficient solutions.
  • Consult catalogs and conduct supplier interviews to obtain pricing, product specifications, and service details.
  • Manage on-site and off-site fuel programs, including coordinating and procuring fuel replenishments as needed.
  • Review and assign purchase orders from various departments and ensure timely transmission of purchase order copies to suppliers.
  • Compare prices, specifications, and delivery dates among suppliers to identify the most cost-effective and reliable options.
  • Communicate with suppliers regarding late deliveries and resolve issues to maintain continuity of operations.
  • Verify supplier bills against bids and purchase orders, ensure proper general ledger coding, and approve invoices for payment.
  • Provide Accounts Payable with accurate vendor additions, changes, or deletions to maintain up-to-date vendor records.
  • Utilize and understand the procurement system, monitor compliance with purchasing processes across all locations, and support process adherence.
  • Develop and maintain an inventory of indirect items such as furniture, office equipment, materials, supplies, and services.
  • Research product market information related to furniture, office equipment, materials, supplies, and services, and share findings with leadership to support purchasing decisions.
  • Perform accurate and timely data entry for purchase orders, vendor information, and other procurement-related records.
  • Collaborate with internal teams, vendors, and customers to clarify requirements, resolve issues, and support smooth purchasing operations.
  • Contribute to the development and improvement of administrative and purchasing processes within a growing and evolving team.

Essential Skills

  • At least 1+ years of order entry and purchasing experience.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite, including strong skills in Excel, Word, and Outlook/Office 365.
  • Experience with purchase order processing and ERP or order entry systems.
  • Strong vendor communication skills with the ability to build and maintain effective supplier relationships.
  • Working knowledge of purchasing principles, procurement processes, and best practices.
  • Ability to interpret and understand written information and communicate effectively with internal teams, vendors, and customers both verbally and in writing.
  • Ability to evaluate products and services by analyzing pricing, quality, features, and supplier performance to identify cost-effective solutions.
  • Strong analytical and problem-solving skills to support informed purchasing decisions aligned with operational and financial goals.
  • Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Experience with inventory, logistics, supply chain, and procurement-related activities.

Job Type & Location

This is a permanent position based out of St. Augustine, FL.

Pay and Benefits
