JOB DESCRIPTION
The Receptionist/Admin Assistant will greet, assist and provide direction and information to customers, visitors and other guests of New River Electrical. In addition to the receptionist's duties, this position will also support other administrative duties throughout the organization. This position will report to Jessica Monroe, Controller.
Duties/Responsibilities- Greet customers, visitors, and guests in a professional and friendly manner.
- Determine the purpose of each person's visit and direct or escort him or her to the appropriate location and provide basic information and assistance to him or her as needed.
- Answer, screen, and direct phone calls promptly and efficiently; take messages and schedule appointments.
- Manage and maintain the reception area, ensuring it is tidy and presentable.
- Manage the mail room including the handling of incoming and outgoing mail, packages, and deliveries.
- Maintain and update records of visitor logs and issue/collect visitor security badges upon entry and exit.
- Assist various departments with data entry and administrative tasks in Word, Excel, and PowerPoint.
- Perform clerical and administrative tasks, such as basic e-filing/recordkeeping, data entry, document preparation, creation, and editing, and photocopying.
- Track, order and maintain office supplies (including kitchen supplies in the kitchenettes and beverage refrigerators), ensuring inventory is stocked.
- Maintain the office plants inside the building (only for corporate plants, not personal plants belonging to employees).
- Coordinate with building management as well as NRE's IT and Facilities teams, on security and facility issues.
- Assist with scheduling appointments and meetings.
- Assist with event planning and coordination.
- Perform other duties as assigned or required.
Qualifications
- High Shool diploma or equivalent.
- 1 to 3 Years of experience working in a receptionist role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Excellent customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Demonstrated proficiency in MS Office, including Word, PowerPoint, Outlook and Excel.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external professionals.
- Resourceful team-player, yet with the ability to effectively work independently.
- Proven ability to handle confidential information with discretion.
- Friendly and professional demeanor.
- Detail-oriented and strong problem-solving skills.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is required to sit at a desk and work on a computer for prolonged periods of time and must be able to lift up to 15 pounds at a time.
Position Type/Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.
